Job summary

Peachstate Hobby Distribution (PHD Games) is hiring an Inventory Process Assistant to support claims processing, damage, and warehouse coordination in Sanford, FL. The role handles stock adjustments, cycle counts, and transfers between locations while collaborating with sales and warehouse teams.

The position requires strong Excel skills, attention to detail, and the ability to manage multiple tasks in a split office/warehouse environment.

Qualifications

• Proficiency in Microsoft Excel (sorting, filtering, lookups, basic formulas).
• Working knowledge of Microsoft 365 apps (Outlook, Teams, SharePoint).
• Strong organizational skills and attention to detail.
• Ability to prioritize and handle several tasks at once.

Responsibilities

• Initiate claims and credit memo requests for damaged, mis-shipped, or returned orders and document them accurately.
• Follow up with internal teams to collect information, approvals, and details needed to resolve each claim.
• Coordinate with warehouse staff to account for return-to-stock orders and record damaged goods.
• Schedule pickups and shipments with freight partners and carriers.
• Organize and distribute tracking and shipment information to stakeholders.
• Communicate with carriers to resolve delays and discrepancies.

Job description

We are one of the largest board games and TCG distributors in the United States. Our corporate office is based in Sanford, FL. We carry a full line of TCGs, miniatures, board games, card games, RPGs, dice, and gaming supplies from the industry's top manufacturers.

We are currently looking for a dedicated Inventory Process Assistant to join our team!

Come help us distribute fun across the United States!

Hours of business: Monday – Thursday 9:00 am – 6:00 pm; Friday 9:00 am – 5:00 pm (40 hours per week).

This position could require extended hours, and occasional weekends as needed.

Job Type: Full-time

Salary: $20.00 - $22.00 per hour

Essential Functions for Inventory Process Assistant, include but not limited to:

Claims & Credit Memos

• Initiate claims and credit memo requests for damaged, mis-shipped, or returned orders, and document them accurately.
• Follow up with internal teams to collect information, approvals, and additional details needed to resolve each claim.
• Coordinate with warehouse staff to account for return-to-stock orders and accurately record damaged goods.
• Schedule pickups and shipments with freight partners and carriers
• Organize and distribute tracking and shipment information to relevant stakeholders
• Communicate with carriers to resolve delays and/or discrepancies

Inventory Support

• Assist with standard inventory processes, such as stock adjustments and cycle counts
• Coordinate with warehouse and sales teams to document and record damaged stock
• Support product allocations by building allocation templates for sales managers and running shipment reports
• Keep inventory records accurate by flagging variances and escalating recurring issues to management
• Build and initiate stock transfers between company locations

Education:

• High School Diploma or Equivalent (Required)

Requirements:

• Proficiency in Microsoft Excel - including sorting, filtering, lookups, and basic formulas
• Working knowledge of other Microsoft 365 applications such as Outlook, Teams, and SharePoint
• Strong organizational skills and attention to detail
• Comfortable prioritizing and handling several tasks at once
• Clear, professional verbal and written communication
• Comfortable working in a split office and warehouse environment
• Ability to coordinate with multiple departments and follow up until issues are resolved

Preferred:

• Experience in inventory control, logistics, claims processing, or order management
• Experience working with freight carriers or third-party logistics partners
• Familiarity with an ERP or inventory management system
• Familiarity with the tabletop gaming industry
