Position Summary / Career Interest:
Under the supervision of the Distribution and Logistics Division- the Inventory Analyst effectively manages the handling and flow of inventory and the processes related to Inventory Management within the University of Kansas Health System Inpatient and Perioperative and Procedural Supply Chain divisions. This position creates and maintains processes related to PAR Optimization, expiration and obsolete inventory, and daily inventory reports. Distribution and Logistics is the largest Supply Chain division delivering face-to-face communication and service to our clinical customers; this position helps place standardization across the division for our customers as it relates to inventory management.Responsibilities and Essential Job Functions
  • Responsible for management of backorders and discontinued items; any product needing a substitute item.
  • Facilitates the management of standardization of substitutes across the division working internally with their own teams and with our clinical customers while keeping the internal Lawson Substitute Repository and EPIC maintained and credible.
  • Creates and Utilizes KPI’s and all available tools to reduce freight expense, expired/obsolete inventory, monitoring and trending of fill rates, monitoring of inventory turns, etc. (see #15 to associate with a savings opportunity).
  • Assists in managing those KPIs by assisting Managers with identification of opportunities, standardization in processes/workflows, documenting those processes/workflows, and conducting PDCA on those processes.
  • Standardize processes and workflows across departments within each Division as it relates to Inventory Management (see #5 for associated KPIs).
  • Reconciles Open PO report and facilitates communication between Logistics and Purchasing.
  • Assists with Standard Work implementation, education, and audits – as it relates to inventory management.
  • Assists with Bill Only Management (as applicable).
  • Facilities and leads changes and conversions related to inventory throughout the division as the change management lead.
  • Facilitates and assists in implementation of distributor solutions and shifting inventory into our Distributor branch.
  • Assists Logistics Managers and Value Analysis with consignment and contract management (as applicable).
  • Assists Managers with reconciliation of data entry for EPIC (as applicable).
  • Assists in implements, adjusts and sustains Perpetual inventory models throughout the division.
  • Assists/Manages the inventory for the inventory within a perpetual system for maintenance (cycle counting) and maintain effective reporting on inventory behavior/activity to enable improvements with semiannual inventories as defined by finance requirements.
  • Facilitates utilization reports for Assistant Director and Logistics Managers to support contracts, fiscal responsibilities for departments and PAR Optimization
  • Identifies gaps and efficient improvements within workflows across the division.
  • Builds business cases with the assistance of the Assistant Director/Logistics Managers and plans to support the division through idea generation and execution of those ideas.
  • Actively works towards financial target and savings for the division (identified with assistance of Assistant Director each FY) by identifying strategic plans and reviews; preparing and completing action plans; implementing productivity, quality, and customerservice standards; resolving problems; completing audits; identifying trends.
  • Facilitates communication and rounding of recall management for the division with collaboration between the Logistics Managers.
  • Effective communications to key stakeholders including but not limited to supply chain leaders/staff, medical staff, clinicians, executive leaders and supplier executives. Actively seeks opportunities to improve service level and relationships with our customers.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • Bachelors Degree in Business, Nursing, or a related field of study from an accredited college or university. OR
  • 5 or more years of experience in inventory control.
  • 3 or more years of management experience of an MMIS platform.
  • 2 or more years of experience using Microsoft Office products. (Outlook, Word, and Excel)
