Qualifications

Responsibilities

  • Coordinate scheduling of interventional pulmonary procedures across multiple locations, including CUIMC Operating Rooms, Endoscopy Suites, Ambulatory Surgery Centers, and office-based procedure settings.
  • Schedule new patient consultations, follow-up visits, diagnostic testing, and procedures while optimizing provider schedules and resource utilization.
  • Coordinate pre-procedure requirements, including medical clearances, laboratory testing, imaging, and acquisition of outside medical records and diagnostic reports.
  • Serve as the primary point of contact for patients, referring providers, physicians, advanced practice providers, nursing staff, anesthesia teams, and procedural areas regarding scheduling and procedural coordination.
  • Obtain and track insurance authorizations, referrals, and prior approvals for office visits, procedures, diagnostic testing, and related services.
  • Verify patient demographic, insurance, and registration information to ensure accurate scheduling and billing processes.
  • Prepare and distribute procedural schedules and communicate schedule changes to appropriate clinical and administrative stakeholders.
  • Facilitate communication and correspondence with referring physicians and members of the patient's care team.
  • Maintain accurate documentation and scheduling records within Epic and other applicable systems.
  • Respond promptly to inquiries regarding appointments, procedures, testing requirements, and scheduling concerns.
  • Assist with resolution of scheduling conflicts, urgent add-on cases, cancellations, and rescheduling requests to support efficient clinical operations.
  • Monitor scheduling workflows and identify opportunities to improve patient access and operational efficiency.
  • Provide administrative support to the Interventional Pulmonary Program, including document preparation, data entry, record maintenance, and special projects as assigned.

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

The Interventional Pulmonary Coordinator serves as a key member of the Interventional Pulmonary Program within the Division of Pulmonary, Allergy & Critical Care Medicine. Reporting to departmental leadership, the incumbent coordinates all aspects of interventional pulmonary procedures and related clinical activities across multiple practice and procedural locations. The Clinical Coordinator acts as the primary liaison among patients, physicians, nursing staff, referring providers, and procedural teams to facilitate efficient scheduling, pre-procedure preparation, insurance authorization, and continuity of care. This position requires exceptional organizational, communication, and customer service skills in a fast-paced academic medical center environment.
