Job description

Harmony Health, PLLC Therapeutic Services (Harmony Health - HH) is a dedicated and growing behavioral health practice founded on the principle of elevating the mental health and overall holistic well-being of the diverse individuals and families within our community. Our core mission is succinctly defined and serves as our guiding star: "To improve the quality of life for families through a holistic approach in mental and emotional wellness."

Role Overview

The HH Intern Coordinator is a pivotal, high-impact leadership position within Harmony Health, PLLC. This role is singularly responsible for the entire lifecycle of our clinical student and practicum program, encompassing the meticulous coordination, comprehensive supervision, and efficient onboarding of all new interns. The Intern Coordinator is instrumental in shaping the future of mental health professionals by overseeing, guiding, and ensuring the exceptional quality of all students' practicum and internship experiences. This position is a key guardian of our organizational integrity, ensuring that the student experience not only meets but exceeds the high standards of clinical care required at Harmony Health, and that strict compliance is maintained with all relevant state and federal regulations, professional ethical guidelines, and agency policies.

Key Responsibilities and Duties

The responsibilities of the Intern Coordinator are multifaceted, demanding a blend of administrative precision, clinical expertise, and strong interpersonal skills:

  • Recruitment and Staffing Contribution: Actively contribute to the organization's hiring process for student personnel. This includes providing expert input and participating in selection activities to ensure that the department is staffed with highly qualified, motivated, and mission-aligned student clinicians.
  • Strategic Leadership Participation: Engage fully in Monthly Leadership Meetings and staff meetings, serving as the voice of the intern program. In this forum, the Coordinator is required to provide insightful input, strategic feedback, and recommendations that directly inform and shape the agency's overall clinical and operational direction. Required to maintain at least 2 in-office days per week with a minimum of 4 hours each.
  • Regulatory and Quality Oversight: Take primary responsibility for overseeing the intern department's continuous, rigorous compliance with all established legal guidelines, internal policies, and quality standards for clinical practice. This includes proactively building and maintaining strategic partnerships with reputable academic programs offering concentrations in Mental Health Counseling, Clinical Social Work, and other relevant behavioral health disciplines to establish a pipeline of future interns.
  • Academic Relations Management: Establish, cultivate, and actively maintain positive, productive, and reciprocal relationships with various academic institutions, serving as the primary liaison between the university/college and Harmony Health.
  • Application and Interview Management: Conduct a thorough and systematic review of all incoming intern applications and associated documentation. Based on this review, the Coordinator will strategically schedule and conduct interviews to assess the fit and readiness of potential interns.
  • Onboarding and Specialized Training: Directly assist in the strategic planning, scheduling, and provision of comprehensive Onboarding training for all new staff, with a focus on delivering specialized, additional training modules that are specifically tailored to the unique needs and requirements of clinical interns.
  • University Compliance and Documentation: Diligently complete all necessary training, forms, and extensive paperwork required to ensure Harmony Health's full and documented compliance with the respective University's and individual Students’ specific requirements for their official internship placement.
  • Field Instructor/Task Manager Allocation: Collaborate closely with the Clinical Director, Operations Director, and Administrative Director to ensure that every intern is appropriately assigned a qualified and willing field instructor or task manager who is committed to providing a successful and enriching supervisory experience.
  • Clinical Caseload Management: Maintain direct clinical skills and relevance by managing a thoughtfully reduced personal caseload of clients, with a required commitment of approximately 15 billed sessions per week.
  • Quality Assurance Auditing: Conduct random and systematic Clinical Audits of intern case files, documentation, and treatment plans. This is a critical quality assurance measure designed to monitor clinical competence, adherence to agency standards, and ethical documentation practices.
  • Supervision and Resource Facilitation: Provide direct clinical supervision and administrative oversight to all interns. This includes actively ensuring that interns and their assigned field instructors/task managers are adequately equipped with the resources, information, and support needed to achieve a highly successful and educationally sound placement.
  • Conflict Resolution and Mediation: Serve as the primary mediator and point of contact to expertly and sensitively address, mediate, and resolve any concerns, grievances, or conflicts that may arise involving interns or the intern program.
  • Continuous Compliance Monitoring: Establish and manage a system to continuously monitor the intern program's adherence to all external legal guidelines, internal organizational policies, and the highest professional standards.
Required Qualifications
