Position Overview

The Intake Specialist is the first point of contact at our site, playing a crucial role in delivering excellent customer service. This role involves welcoming volunteers, managing communication, and coordinating with clinic staff to ensure a positive experience from the initial call to the final visit.

Key Responsibilities
  • Greet volunteers and visitors, verify identification, and upload documents into CTMS.
  • Provide and explain necessary documents to volunteers.
  • Answer inquiries via phone and email, and manage appointment reminders and rescheduling.
  • Notify staff of volunteer arrivals and ensure smooth check-in processes.
  • Accurately document visits in CTMS, including demographic data and payments.
  • Coordinate transportation and maintain trackers for no-shows and screening volunteers.
  • Prepare reports, manage mail and supplies, and assist with study startup materials.
  • Support special projects and perform other duties as assigned.
Qualifications
  • Associate’s degree and at least 3 years of customer service, administration, or sales experience, or equivalent.
  • Excellent customer service skills and proficiency with computer applications.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to handle sensitive information confidentially and in accordance with HIPAA.
  • Bilingual in English and Spanish is a plus.
