Job summary

Vail Health Hospital is seeking an Intake Specialist to support clinical and administrative teams at the Precourt Healing Center. You will be the initial contact for patient arrivals, handling pre‑registration and admit‑registration, while ensuring a warm, professional welcome for patients, visitors, and staff.

Qualifications

  • One year of experience in behavioral health, healthcare, admitting, clerical, customer service, or hospitality.
  • BLS certification is required.
  • Must have working knowledge of English (reading, writing, speaking).
  • Must possess and maintain computer skills for online learning, forms, and enrollment.

Responsibilities

  • Obtains, verifies, and registers patient information to streamline admissions.

  • Performs safety checks, belongings searches, and identifies unsafe conditions.
  • Communicates clearly with patients, visitors, providers, and staff via multiple channels.

About the opportunity

The Intake Specialist is a support position to both the clinical and administration teams at the Precourt Healing Center. This position plays a vital hands‑on role as an initial contact during patient’s arrival to the facility, ensuring a smooth transition to care. This role is the main contact for pre‑registration and admit‑registration, maintaining professionalism in welcoming patients, visitors, and staff. This position supports the Intake & Admissions Coordinator to ensure a seamless workflow. The Intake Specialist also works closely with the hospital’s Utilization Management/Utilization Review, Admissions, Insurance Verification, and Financial Advisor teams. Given the high‑acuity environment, flexibility is essential; this role requires filling multiple functions as needed on any given day in a fast‑paced setting in which safety and caution is critical. Responsibilities include supporting onsite teams with various tasks, such as: crisis management (hands on and verbal de‑escalation), coordinating visitation, receiving deliveries and delivering to floors, obtaining patient signatures, escorting visitors, answering phone calls, and assisting with unit floor tasks including patient care needs. This role may also involve supporting lab registrations and performing administrative duties like scheduling and coordinating requests.

What you will do
  1. Patient Registration Management: Obtains, verifies, and registers patient information while ensuring a streamlined admissions process through effective communication with the Intake & Admissions Coordinator and Hospital Admit team.
  2. Crisis Management: Trained in de‑escalation techniques affording the ability to manage escalated interactions in crisis situations as a team or individual and alerting response system. This includes sitting with patients and ensuring their safety until additional team support arrives.
  3. Safety Procedures: Conducts safety checks and assists with belongings searches for both patients and visitors. Trained and responsible for identifying a potentially unsafe situation and communicating and escalating effectively.
  4. Effective Communication: Communicates clearly and professionally with patients, visitors, community partners, providers, and colleagues through various channels (in‑person, email, telephone, fax, Microsoft Teams) while resolving non‑clinical questions.
  5. Documentation Management: Establishes and maintains files, scans medical records timely, and ensures organized information systems. Collaborates with outside agencies and internal departments to fulfill documentation requests.
  6. Data Support: Actively participates in departmental data collection, analysis, and reporting to meet compliance regulations, performing ongoing documentation audits for various requirements.
  7. Versatile Role Engagement: Works in diverse patient settings in and around the Edwards Community Health Campus, including floor units, outpatient support, and external collaboration.
  8. Team Involvement: Attends departmental staff meetings and huddles, provides feedback, and assists in training and educating new staff members.
  9. Cultural Competency: Models the principles of a Just Culture and upholds Organizational Values, fostering teamwork and inclusivity.
  10. Additional Duties: Performs other tasks as assigned, showcasing flexibility and adaptability in a dynamic environment.
  11. Compliance Awareness: Maintains HIPAA compliance and demonstrate understanding of patient privacy sensitivities.

What you will need
Experience
  • One year of experience in behavioral health, healthcare, previous admitting, clerical, customer service, or hospitality, required.
  • Experience in Behavioral Health, preferred.
  • Knowledge of community resources, preferred.
  • Knowledge of the Spanish language a plus.

  • Basic Life Support (BLS), required
Computer / Typing
  • Must possess, or be able to obtain within 90 days, the computer skills necessary to complete online learning requirements for job‑specific competencies, access online forms and policies, complete online benefits enrollment, etc. Must have typing and computer skills for this position.

Must have working knowledge of the English language, including reading, writing, and speaking English.

Pay is based upon relevant education and experience per hour.
