Qualifications

  • Bachelor's degree in a healthcare or business field preferred.
  • Experience coordinating intake, operations, or project work in healthcare or revenue cycle management.
  • Experience with payor requirements and HIPAA compliance is a plus.
  • Proficiency with Microsoft Office and payor portals is preferred.

Responsibilities

  • Write, maintain, and update Intake SOPs reflecting current workflows and policy changes.
  • Maintain and update payor handbook with timelines and submission guidelines; translate into process updates.
  • Manage calendars and schedule intake meetings across departments.
  • Prepare and distribute meeting agendas, minutes, and action items.
  • Maintain project documentation for intake process improvements; track scope changes.

Job Summary:

This position is responsible for the coordination and supports the intake function, managing intake documentation, payor requirements, and cross-functional scheduling to ensure smooth day-to-day operations. This role blends operational rigor with light project management, serving as a liaison between intake staff and leadership to drive process improvements and maintain compliance with organizational and regulatory standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Write, maintain, and update Intake Standard Operating Procedures (SOPs) to reflect current workflows, policy changes, and best practices.
  2. Maintain and update the payor handbook, including payor-specific requirements, timelines, and submission guidelines; track policy changes and translate them into actionable process updates.
  3. Manage calendars and schedule intake-related meetings across departments (operations, clinical, billing, etc.).
  4. Prepare and distribute meeting agendas, minutes, and follow-up action items to ensure timely execution.
  5. Maintain project documentation for intake process improvement initiatives, including action logs, scope changes, and post-project evaluations.
  6. Serve as a liaison between intake staff and leadership to support process improvement project implementation.
  7. Review, categorize, and ensure accurate and timely distribution of incoming faxes and other intake documentation to the appropriate department or stakeholders.
  8. Monitor intake processes for adherence to SOPs and payor requirements; identify recurring issues or bottlenecks and propose solutions.
  9. Ensure compliance with healthcare regulations (e.g., HIPAA) and organizational standards.
  10. Perform other duties as assigned by leadership to support departmental goals.
JOB REQUIREMENTS AND QUALIFICATIONS
Education:
  • High school diploma or equivalent; associate or bachelor's degree preferred.
Experience:
  • Minimum of two (2) years of experience in operations, intake, project coordination, or a related role; healthcare or revenue cycle management experience preferred.
  • Demonstrated ability to build stakeholder engagement and drive action.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and/or electronic health record or payor portal systems preferred.
Skills and Competencies:
  • Strong organizational and time management skills.
  • Excellent verbal, written, and interpersonal communication skills.
  • Highly organized, detail-oriented, and comfortable managing multiple concurrent workstreams.
