Job summary

The Edinburg Center seeks an Intake Coordinator and Administrator in Bedford, MA. This in-person role supports referral sources, waitlists, and initial screenings, coordinating with clinicians and billing to ensure seamless intake processes.

Strong organizational, customer service, and communication skills are essential, with proficiency in Word, Excel, and Outlook. EHR experience (Evolv), MABHAccess, and MassHealth familiarity are highly valued.

Qualifications

  • BA/BS required with strong organizational and communication skills.
  • Proficient with computers including Word, Excel, and Outlook.
  • Experience with Electronic Health Records and related intake processes.

Responsibilities

  • Establish and maintain referrals with outreach and follow-up for clinician availability and waitlists.
  • Maintain program referral waitlists and update individuals on status.
  • Screen waitlist individuals for appropriateness and collect initial information.
  • Create and maintain a community resource database and refer when appropriate.
  • Coordinate with clinic staff to match individuals to service staff.
  • Schedule initial intake sessions using Outlook and Evolv calendar integration.
  • Follow up within 24 hours to confirm intake and fit.
  • Coordinate insurance eligibility, co-pays, deductibles, and billing with the billing dept.
  • Update weekly/monthly staff data, including MABHACCESS reports.
  • Carry out special projects as assigned.

INTAKE COORDINATOR AND ADMINISTRATOR

  • Full time, 40 hour work week
  • Monday through Friday
  • In person position based in Bedford, MA
What You Will Do:
  • Establish and maintain relationships with referral sources including consistent contact, outreach and follow-up for referrals, communication regarding clinician availability and current waitlists.
  • Maintain all programs referral waitlists, including regular follow-up with Individuals on the waitlist to confirm they still desire services and to update on current waitlist.
  • Initial outreach and screening to individuals on the waitlist, including screening for appropriateness for level of care, requesting initial insurance information, and requesting medical records.
  • Create and maintain community resource database and recommend to Individuals on the waitlist who are not able to wait for a staff person and/or are not appropriate for the level of care.
  • Establish relationships with clinic staff and learn their areas of expertise and schedule in order to appropriately match Individuals requesting services with the correct service/staff person.
  • Schedule initial intake sessions utilizing Outlook and Evolv Into staff's calendars and coordinate with Individual served.
  • Follow-up within 24 hours of a scheduled Intake to ensure Intake took place and confirm goodness of fit.
  • Coordinate with the billing department to check all insurances for eligibility, co-pays, co-insurance, and deductibles.
  • Update weekly and monthly staff data, including MABHACCESS weekly staff.
  • Carry out special projects as assigned.
Who You Are:

The Intake Coordinator will have a BA/BS; Excellent organizational, customer service skills and communication skills. The Intake Coordinator will be proficient using computers, including Microsoft Word, Excel, Outlook

The Intake Coordinator will have experience with Electronic Health Records with the ability to utilize Evolv for Intake and all reports, MABHAccess and all Masshealth Websites for referral tracking.
