Job summary

The Fresh Air Fund in New York City is seeking an Institutional Giving Coordinator to support foundation relations, grants management, and donor stewardship. You will draft proposals, letters of inquiry, and reports, and coordinate with program staff to translate impact into compelling funding narratives.

Qualifications

  • 1-3 years of experience in development, grant writing, or a related nonprofit role.
  • Excellent writing skills, with the ability to translate program information into clear, persuasive narrative.
  • Highly organized, with strong attention to detail and the ability to manage multiple deadlines simultaneously.
  • Comfortable with data - pulling, organizing, and presenting program metrics for funder audiences.
  • Experience with CRM/donor databases preferred; Salesforce experience a plus.
  • Proactive, resourceful, and able to work both independently and collaboratively.
  • A commitment to and enthusiasm for The Fund's mission and values.
  • Bachelor's degree required.

Responsibilities

  • Maintain and manage the institutional giving grants calendar, tracking deadlines for letters of inquiry, proposals, reports, and renewals across the foundation portfolio.
  • Draft letters of inquiry, proposals, and funder progress reports for review and finalization by the Director, ensuring alignment with funder guidelines and The Fund's case for support.
  • Research and qualify new foundation and corporate-foundation prospects, preparing prospect briefs and funder profiles for the Director's review.
  • Gather and organize programmatic data, outcomes, and stories from program staff to support proposals and reports.
  • Maintain accurate funder records in Salesforce, including contact information, proposal status, gift history, and next steps.
  • Process and acknowledge institutional gifts in coordination with the Development Operations team, ensuring timely and accurate stewardship.
  • Prepare briefing materials and talking points for Director and CEO meetings with funders.
  • Monitor compliance requirements and flag risks to the Director proactively.
  • Support Fresh Air Fund community events and site visits for foundation funders as needed.
  • Other duties as assigned.

Institutional Giving Coordinator

Full Time New York, NY, US

Salary Range: $52,000.00 To $55,000.00 Annually

The Fresh Air Fund is a youth development organization providing transformative outdoor experiences, at no cost, for New York City children from underserved communities. At six sleepaway camps in New York's Mid-Hudson Valley, children have new experiences, learn new skills and gain new perspectives. Youth also participate in year-round leadership, career exploration and educational programs.

Position Summary

The Institutional Giving Coordinator is an essential part of the Institutional Giving team, supporting all aspects of the foundation relations and grants management functions of the department. This role is ideal for an early-career development professional who is detail-oriented, an excellent writer, and energized by translating program impact into compelling funding narratives. The Coordinator will work closely with the Director of Institutional Giving on research, writing, grants administration, and donor stewardship for foundation and government funders. The Coordinator reports to the Director of Institutional Giving.

  • Prepare briefing materials, talking points, and follow-up communications for Director and CEO meetings with funders.
  • Monitor compliance requirements (reporting deadlines, restricted-use rules, grant agreement terms) and flag risks to the Director proactively.
  • Support Fresh Air Fund community and special events and site visits for foundation funders as needed, including occasional evenings, early mornings and weekends.
  • Other duties as assigned.
Qualifications
  • 1-3 years of experience in development, grant writing, or a related nonprofit role; recent graduates with strong relevant internship experience will be considered.
  • Excellent writing skills, with the ability to translate program information into clear, persuasive narrative.
  • Highly organized, with strong attention to detail and the ability to manage multiple deadlines simultaneously.
  • Comfortable with data - pulling, organizing, and presenting program metrics for funder audiences.

Salary & Benefits:

The salary range for this role is $52,000 - $55,000, commensurate with experience. The Fresh Air Fund offers a generous benefits package including medical, dental and vision insurance, flexible spending accounts, commuter benefits, and employer and employee retirement contribution plans.

Additional Information

This at-will position is full-time, based in our New York City office, and currently requires three days a week in the office. The Fresh Air Fund offices are open and available all week, and all employees are permitted and encouraged to come to the office to work. Fresh Air may modify its remote work policy generally or with respect to any position at any time.
