We’re currently on the lookout for a full-time, dependable Installation Admin Specialist to join our team of top-notch HVAC professionals. As an Installation Admin Specialist, you’ll be the main point of contact between our office and homeowners during the installation process. You’ll manage timelines, permits, scheduling, and communication, making sure every job flows smoothly and every customer feels confident and cared for.

What Will I Do?

  • Coordinate HVAC installations between T.F. O'Brien and the homeowner
  • Set proper expectations with customers before installation begins
  • Enter quotes and set up jobs in Service Titan (our CRM system)
  • Submit applications for permits and rebates ensure all open permits get closed
  • Ensure accounts receivables are kept at a minimum
  • Schedule installation dates and keep all departments aligned
  • Follow up with customers, answer questions, and provide status updates
  • Collect deposits and coordinate processing with the Installation Manager
  • Support the Installation Manager's day-to-day needs

Key Points and Responsibilities:

  • Exceed customer’s expectations for quality and value.
  • Communicate with the installation Manager regularly and routinely to resolve questions, concerns, or issues.
  • Implement all company better practices that apply within the department promptly.
  • Participate in company outings and functions to develop a successful team.

Do I have What it Takes?

  • Ability to analyze large sets of data and make informed decisions
