Qualifications

• Bachelor’s degree in business administration, logistics, project management or related field preferred.
• 3 years’ experience as a Project Coordinator in logistics/supply chain, construction, rigging, or related field preferred.
• Familiarity with equipment tracking management and equipment inventory recordkeeping.
• Intermediate computer skills using a Windows-based system.
• Proficiency with Word, Excel, Outlook; ability to learn CRM or project management software quickly.
• Strong team-building, communication, and interpersonal skills with internal leadership and clients.
• Analytical skills to explain data-driven information; organized, deadline-driven, self-motivated.
• Knowledge of accounting principles and invoicing practices is helpful.

Responsibilities

• Coordinate with warehouse/storage teams and Project Managers to verify inventory status and readiness for delivery to job sites.
• Ensure storage data accuracy through daily system audits and cross-checks with tickets and records.
• Assist in job cost tracking by reconciling PO numbers, serial numbers, barcodes, and equipment IDs.
• Work with Field Teams to log final equipment setting locations and maintain traceability.
• Support customers with clear documentation, equipment photos, and real-time inventory updates.
• Compile invoice backup packets for key accounts, especially during month-end billing cycles.
• Review and validate customer-facing documentation for accuracy and timely delivery.
• Act as liaison between Project Managers, Accounting, Warehouse, Dispatch, and Field Services.
• Collaborate with Accounting to ensure billing reflects contractual terms and supporting docs.
• Track repair needs and timelines; coordinate with teams/vendors to meet deadlines and inform customers.
• Support claims resolution with incident reports, photos, service logs, and correspondence.
• Maintain a clean claims log and identify opportunities to streamline processes.
• Propose SOP improvements for storage, transportation, and invoicing workflows.
• Ensure consistent data entry, file naming, barcode labeling, and equipment tracking across systems.
• Participate in internal reviews/audits to validate data accuracy and recordkeeping standards.
• Flag discrepancies or recurring issues and recommend solutions.
