Position Description:
The Incentive Fulfilment Coordinator
is responsible for the end-to-end processing of incentive payments for utility-sponsored energy efficiency programs. This role involves coordinating with various internal teams and external vendors to execute incentive strategies in a timely and accurate manner. This role works closely with cross-functional teams to review budgets, ensure contract timelines are met, and maintain accurate records for reporting and auditing purposes.

Key Responsibilities:
- Ensures that all payments approved by each program operations team are paid accurately and within contracted timelines.
- Work with Sr. Incentive Accountant and Controller on initiating new banking accounts.
- Execute and contribute to continuous improvement of batch processing workflows.
- Process incentive program payment batches, utilizing various bank payment processing uploads and reporting protocols.
- Tracking and communication of fulfillment.
- W9 validation and entry.
- Support W9 and 1099 vendor payment automation and compliance software.
- Heavy data entry.
- Provide support to the program teams.
- Communicate with program teams to resolve payment issues.
- Assist in training teams on payment processes and procedures.
- Collaborate on automating TIN matching processes.
- In partnership with the Sr. Incentive Accountant and Controller, support the daily cash movement, including ACH and wire.
- Supports exception processing for incentive payments.
- Report any suspicious transactions or late payments promptly.
- Performs other related duties, as assigned.
- Maintain detailed records to meet reporting and audit requirements.
- Update program payment processing SOP’s monthly to document payment processing protocols in alignment with SOC compliance and Controller requirements.
Position Qualifications:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Ability to work independently and within a team
- Previous experience working in a virtual environment is helpful but not required.
Preferred Skills/Experience:
- Associate or bachelor’s degree in finance or accounting.
- Prior incentive or rebate processing experience, required.
- Intermediate to advanced proficiency in Microsoft Excel, required.

- Evergreen will provide a computer (programs for the position included in the computer setup), two monitors, a monitor stand, speakers, a webcam, a docking station, a wireless keyboard and mouse, and a surge suppressor.
