GENERAL DESCRIPTION
The Inbound Specialist, Ground owns the destination half of the ground shipment file - from origin departure through confirmed delivery, financial reconciliation, and release of the file for invoicing. Working across e2open TMF and Descartes Aljex, the Inbound Specialist picks up shipments handed off by the Outbound Specialist, maintains in-transit visibility and delivery ETAs, pre-alerts the receiving warehouse, secures and audits the signed proof of delivery, and posts delivery milestones and documentation in both systems. The role closes the file: reconciling revenue and cost once final carrier charges are confirmed, pre-alerting the billing team when the file is ready to bill, and locking the job so nothing downstream is billed against incomplete data. The Inbound Specialist is accountable for delivery-side data parity between TMF and Aljex, for POD accuracy, and for the timely escalation of transit, delivery, and security exceptions.
ESSENTIAL JOB FUNCTIONS
File Pickup & In-Transit Management
- Monitor the Aljex queue for shipments in Loaded status with a blank Service Rep field and take ownership promptly so no departed shipment sits unassigned.
- Assign self as Service Rep in Aljex to establish clear single-point ownership for the delivery leg.
- Track the shipment in MacroPoint, validate the ETA to the delivery location, and reconcile it against the appointment on file.
- Send the delivery pre-alert to the receiving warehouse using the inbound TMF template, confirming appointment date, time, references, and asset detail.
- Monitor Tive and MacroPoint status through transit; report failed or lapsed tracking sessions and support security auditing of high-value shipments.
- Update in-transit milestones and reason codes in both TMF and Aljex so the operational boards reflect current shipment status.
Delivery, Proof of Delivery & Documentation
- Confirm arrival at the destination warehouse and coordinate with the site and carrier on unloading and appointment adherence.
- Obtain the signed POD from the carrier at completion of delivery.
- Audit the POD to confirm it matches the shipment - references, asset detail, and piece count - before it is filed.
- Upload the signed POD to the POD folder in Aljex and complete the signed-by field, which triggers Delivered status.
- Upload the signed POD in TMF at the same time, update the delivered milestone, and add the remark with driver information so both systems close out together.
- Resolve any discrepancy between the POD, the original BOL, and system records before the file moves to billing; escape short, damaged, or refused deliveries immediately.
Financial Reconciliation & File Closeout
- Update Aljex revenue and TMF cost and revenue once the final carrier charge note (FCC) is visible in Aljex.
- Verify cost and revenue parity between TMF and Aljex, and that all accessorial and detention charges are captured before the file is released.
- Pre-alert the file in TMF to the CCC Billing Team once it is complete and ready to bill.
- Lock the TMF job and release the shipment in Aljex so the file cannot be altered after handoff to billing.
- Support the billing team on post-handoff queries by producing the underlying documentation - signed BOL, POD, milestones, and charge detail.
- Contribute to reduced mean time to invoice by closing files the same operating day the FCC note becomes available.
Monitoring, Escalation & Shift Discipline
- Work the Aljex delivery queue continuously; the Operations Supervisor monitors unassigned loads and confirms an Inbound Specialist is assigned to every shipment.
- Ensure escalated shipments are flagged as hot loads in Aljex and given priority handling and communication.
- Escalate transit and delivery exceptions (late ETAs, missed or rescheduled appointments, carrier no-shows, equipment failures, refused or short deliveries) to the Capacity Planning Specialist and Operations Supervisor.
- Escalate client-facing issues and any change to committed delivery dates to the Operational Account Manager rather than communicating directly with the customer.Escalate security concerns - cargo integrity, tampering, chain-of-custody gaps, or loss of tracking - to the GSOC Security Team and management immediately.
- Escalate systemic and tooling gaps (missing FCC notes, milestone or reason-code mismatches between systems, integration defects, recurring manual rework) to the Program Manager.
- Maintain consistent milestones and reason codes across TMF and Aljex, and complete the shift handover checklist so in-flight deliveries transfer cleanly between shifts.
OTHER SKILLS AND ABILITIES
- Experience with real-time visibility and telematics platforms (MacroPoint, Tive) and dock scheduling tools (Open Dock).
- Familiarity with freight billing workflows and what constitutes a complete, billable file.
- Understanding of cargo security best practices, chain-of-custody requirements, and security-vetted carrier programs.
- Experience supporting high-value or security-sensitive customer programs with prescriptive SOPs.
- Sound judgment on when to resolve in-lane versus when and how to escape.
- Detail-oriented with strong organizational and multitasking ability in a high-volume, fast-paced environment.
EDUCATION AND EXPERIENCE
- High school diploma or equivalent; associate's or bachelor's degree in logistics, supply chain, or a related field preferred.
- 1-3 years of experience in transportation operations, delivery coordination, dispatch, or a related logistics role.
- Hands-on experience with transportation management systems; direct experience with e2open TMF and/or Descartes Aljex strongly preferred.
- Working knowledge of US domestic ground freight modes (FTL, LTL, intermodal) and standard shipment lifecycle milestones.
- Demonstrated accuracy with document audit work - validating a signed POD against system records and resolving discrepancies before billing.
- Comfort with cost and revenue entry and the discipline to reconcile financials across two systems.
- Strong verbal and written communication skills for interfacing with carriers, drivers, receiving sites, and internal teams.
- Proficiency in Microsoft Office (Excel, Outlook) and Microsoft Teams.
