Job summary

Inspire Investing in Meridian, Idaho, is seeking an Operations Specialist to support compliance, accounting, and data processing within our finance team. The role reports to the SVP of Operations and involves managing transactional data, improving processes, and assisting with monthly close.

Ideal candidates have a bachelor’s degree in accounting or related field, 2–5+ years of experience, proficiency in QuickBooks Online and Excel, and a readiness to leverage AI tools to enhance efficiency

Qualifications

• Bachelor’s degree in accounting or related field; relevant experience may substitute.
• 2–5+ years in accounting, compliance support, or operations; financial services preferred.
• Hands-on QuickBooks Online experience; strong Excel skills.
• Advanced Excel with pivot tables and lookups; automation a plus.
• Familiar with AI tools (Claude, ChatGPT, Copilot) and rapid adoption.
• Strong attention to detail and ability to manage multiple deadlines.
• Clear written and verbal communication; confidential information handling.

Responsibilities

• Coordinate compliance tasks and act as operational contact for outsourced team.
• Gather, organize, and deliver docs for reviews, testing, and filings.
• Track compliance calendar and deliverables; maintain records.
• Assist with advertisement reviews, attestations, and related docs.
• Maintain audit-ready records per books and records requirements.
• Escalate compliance concerns to leadership promptly.
• Record, categorize, and review transactions in QuickBooks Online.
• Process card transactions and collect receipts; code expenses.
• Complete monthly bank and credit card reconciliations; resolve discrepancies.
• Support accounts payable/receivable activities and month-end close prep.
• Follow internal controls and keep documentation retrievable.
• Prepare schedules and docs for controllers and external accountants.
• Process recurring monthly reporting; gather data from multiple systems.
• Build and maintain Excel trackers and templates; automate where possible.
• Validate data; reconcile differences; document methods for repeatability.
• Handle confidential firm, advisor, and client data with discretion.
• Manage schedules, deadlines, and meeting logistics for Operations.
• Support projects by tracking tasks and preparing materials.
