Employment Type: Full-Time

Salary Range: $20.00 - $28.00

Overview

Under general supervision, the role is responsible for scheduling patient imaging appointments efficiently and timely. The position handles obtaining necessary pre‑authorizations for imaging, answers all incoming calls, directs calls to appropriate personnel, and serves as a liaison between patients and medical staff. The role may include outside scheduling responsibilities and supports compliance with the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Scope

The position involves managing all tasks related to patient imaging scheduling, including entering authorizations, entering correspondence into electronic medical records, and monitoring scheduling templates and work queues. It also ensures confidentiality and protects patient information.

Responsibilities
  • Obtain and enter all necessary authorizations for imaging.
  • Enter correspondence related to referrals in patients’ charts and/or electronic medical records (EMR).
  • Schedule imaging in the required systems.
  • Answer all incoming calls, assess callers’ needs, and direct them to appropriate personnel. Page clinic personnel as needed and obtain and communicate messages accurately and timely.
  • Efficiently schedule new patients, imaging, patient referrals, and returning patients in a computer system according to physician and/or office guidelines. For new and/or referred patients, set up the system with appropriate documentation.
  • Cancel or reschedule appointments according to physician schedule changes and notify appropriate clinic personnel.
  • Monitor primary scheduling templates and work queues.
  • Demonstrate an understanding of patient confidentiality to protect the patient and clinic/practice.
  • Communicate with patients about imaging being scheduled and potential prep work needed, inquire about test specifics from necessary parties, and gather patient information as required.
  • Perform other duties as required.
Qualifications
  • High school diploma or equivalent required.
  • Minimum three years of office experience, preferably in a medical office setting (strongly preferred).
  • Previous experience scheduling imaging strongly preferred.
  • Previous experience in the oncology field preferred.
  • Experience with Electronic Medical Records (EMR) strongly preferred.
  • Knowledge of medical terminology required.
  • Excellent written and verbal communication skills required.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
Physical Demands

Work may require sitting for long periods, stooping, bending and stretching for files and supplies, and occasionally lifting files or paper up to 30 pounds. Manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment is required. Vision must be correctable to 20/20 and hearing must be within normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods.
