Job summary

Beth Israel Lahey Health is seeking an administrative professional to support radiology workflow and patient communications. You will manage imaging requests, coordinate transfers, and ensure accurate recordkeeping across EPIC, Sectra, and other imaging platforms.

Hours are Monday Friday, 7:30 a.m. p.m. The role requires strong customer service, organization, and written/spoken English skills; familiarity with medical office procedures is preferred.

Qualifications

  • High school diploma or equivalent.
  • Experience in a medical office setting preferred.
  • Strong interpersonal, customer service, time-management, computer, and organizational skills.

Responsibilities

  • Prepares CDs/DVDs and ensures patient IDs are correct before distribution.
  • Imports exams from sharing platforms or discs and uploads to PACS.
  • Requests and tracks imaging and reports from outside facilities.
  • Processes transfer of imaging studies to outside facilities.
  • Answers calls, records messages, and communicates with patients.
  • Uses EPIC, Sectra, Care Everywhere, Ambra, LifeImage for recordkeeping.

Job description

Hours: Monday‑Friday 7:30 a.m.‑4 p.m.

DUTIES AND RESPONSIBILITIES
  • Prepares CDs/DVDs when requested. Ensures patient ID labels on disc and provides to patients or mails.
  • Retrieves and imports exams on electronic image sharing platforms (e.g., Ambra, LifeIMAGE, Powershare) or on disc to process and upload into PACS for Radiologists and requesting providers according to established policies and procedures.
  • Requests and tracks imaging and reports from outside facilities to minimize delay in patient care.
  • Processes transfer of imaging studies to outside facilities via electronic imaging sharing platforms or CD/DVDs. Forwards imaging reports to appropriate facilities, department or person, as needed.
  • Answers telephone calls, receives and records messages, retrieves voicemails, and communicates in a timely manner to patients or callers.
  • Processes legal requests for imaging studies according to established policies and procedures.
  • Uses multiple systems to capture all information and prior exams for comparison such as EPIC, Sectra, Epic Care Everywhere, Ambra, Powershare, LifeImage, and others.
  • Works closely with Radiologists and Technologists to ensure they have the images needed to minimize delays.
  • Ensures adequate inventory of supplies for image archive operation and notifies supervisor when supplies need replenishment.
  • Reports equipment malfunction immediately by notifying help desk and supervisor.
  • Performs related clerical duties and assists with front desk operations as needed.
  • Exhibits calm and professional manner at all times; recovers quickly from adverse situations; maintains confidentiality, sharing information only on a need‑to‑know basis.
  • May be required to perform similar or related duties as may be necessary on an emergency basis or as designated by the department manager or supervisor.
QUALIFICATIONS
  • High school diploma or equivalent.
  • Experience in a medical office setting is preferred.
  • Strong interpersonal, customer service, time‑management, computer, and organizational skills required.
OTHER SKILLS REQUIRED
  • Written communication: ability to communicate clearly and effectively in written English with internal and external customers.
  • Oral communication: ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families, and external customers.
  • Knowledge: ability to demonstrate full working knowledge of standard concepts, practices, procedures, and policies, with the ability to use them in varied situations.
PAY RANGE

$19.50 – $26.24 per hour.
