Job summary

Catholic Community Services, Family Behavioral Health, is seeking a Medical Records Specialist II based in St. Pat’s, Tacoma, WA. The majority of work may be done remotely, with some travel for in-person meetings and events.

The role supports nine service locations, ensuring privacy, accuracy, and timely handling of records while contributing to quality assurance and risk mitigation in a mission-driven organization.

Qualifications

• Bachelor's degree in human services or a related field.
• Two years' administrative support experience in an office with increasing duties.
• Experience overseeing healthcare records, documentation, and database systems in a medical setting.
• Experience providing professional screening/customer service.
• Strong computer skills especially in Microsoft Office 365 Suite.
• Ability to manage equipment and networks in a busy office.
• Excellent written and oral communication skills.
• Excellent interpersonal and organizational skills.
• Valid driver's license and reliable transportation.
• Successful background checks prior to employment.

Responsibilities

• Receive and process medical records requests for FBH site staff, external agencies, and authorized individuals per policies and HIPAA regulations.
• Redact sensitive information from clinical documents.
• Track timelines for records requests and maintain logs.
• Prioritize workload to meet deadlines and respond to urgent requests.
• Ensure redacted and released documents are stored in client electronic health records.
• Provide guidance on documentation release procedures and confidentiality standards.
• Interact with staff, community agencies, clients and stakeholders as needed.
