Key Responsibilities
- Team Leadership and Development:
- Lead, mentor, and manage a team of HVAC technicians and field supervisors, ensuring high standards of technical expertise and customer service.
- Collaborate with dispatch to prioritize and schedule daily work orders, ensuring timely service delivery and minimizing downtime.
- Provide ongoing training and development opportunities, enhancing technical competence, customer relations skills, and safety awareness.
- Foster a team culture that emphasizes accountability, continuous improvement, and client satisfaction.
- Conduct regular performance evaluations, set measurable goals, and implement corrective actions as necessary to improve performance.
- Customer Relations and Account Management:
- Oversee customer inquiries, service requests, and complaints, ensuring prompt resolution and consistently high levels of customer satisfaction.
- Build and maintain strong, long-term relationships with commercial and residential clients, ensuring continued service opportunities and customer loyalty.
- Promote value-added services such as maintenance agreements, system upgrades, and additional HVAC services to clients, expanding revenue opportunities.
- Operational Management and Efficiency:
- Project and manage weekly manpower to ensure the service department meets monthly billable goals.
- Collaborate with the inside sales team to ensure weekly sales metrics are met, improving close rates, technical knowledge, and organizational skills.
- Ensure compliance with all relevant local, state, and federal regulations regarding HVAC installations, maintenance, and repairs.
- Partner with the sales team to estimate, quote, and schedule new service contracts and large-scale projects.
- Develop and implement processes and procedures to streamline service department operations and improve overall efficiency.
- Oversee technician timecards and performance, ensuring productivity meets target expectations, and identifying areas for improvement.
- Monitor gross margin performance and conduct regular reviews of invoices below target margins, taking corrective actions when necessary.
- Track and review technician KPIs on a weekly basis, working closely with the Service Executive to optimize performance.
- Quality Control & Safety:
- Ensure all HVAC installations, maintenance, and service work meets the company’s high-quality standards and adheres to industry codes.
- Enforce safety protocols across the department, ensuring compliance with OSHA guidelines and maintaining a safe working environment for all technicians.
- Inventory and Equipment Management:
- Oversee the procurement, stocking, and management of tools, parts, and materials essential for service operations.
- Manage the Service Shop and coordinate budget justification for new tool purchases, ensuring that the Service Warehouse is stocked and organized efficiently.
- Ensure accurate records are maintained for service calls, work orders, invoices, and equipment used on jobs.
- Collaborate with the procurement team to optimize inventory levels and manage the depreciation of service-related equipment.
- Reporting and Administration:
- Prepare and submit weekly performance reports, tracking service revenue, key performance indicators (KPIs), and departmental progress.
- Reports will include:
- KPI analysis, identifying technicians underperforming in any category.
- Review of billed vs. unbilled hours for technicians.
- Invoice review, identifying and explaining underperforming jobs.
- Address and resolve billing disputes.
- Ensure thorough documentation of warranty claims, service contracts, and equipment servicing.
