About The Job:

POSITION SUMMARY:

The Service Coordinator is responsible for managing and coordinating the daily activities of service technicians while ensuring smooth and efficient operations within the service department. This position serves as a key communication link between the office, field technicians, and customers, ensuring tasks are completed on time and to high standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as the primary point of contact for office and backup cell phone calls.
  • Dispatch service technicians to job sites based on priority, proximity, and skill set.
  • Assign and issue tasks to technicians and monitor completion.
  • Maintain effective communication with technicians regarding issues and needs.
  • Follow up on requesting customer purchase orders (PO).
  • Manage the preparation and distribution of morning emails, on-call schedules, and status updates.
  • Conduct daily technician queue reviews.
  • Monitor and address missing job descriptions daily.
  • Assist with job price-outs to ensure accuracy and profitability.
  • Review and maintain accurate tagging of credits.
  • Coordinate with technicians to maintain and update service logbooks.
  • Process service work orders daily to ensure accurate and consistent invoicing.
  • Assist with job price-outs to ensure accuracy and profitability.
  • Actively identify and document deficiencies found while reviewing service work orders.

EDUCATION AND/OR EXPERIENCE:

  • High School Diploma or equivalent required.
  • Further education or certifications in HVAC, Industrial Refrigeration, or administrative fields are preferred.

OTHER KNOWLEDGE AND ABILITIES:

  • Familiarity with dispatch systems and work order management software.
  • Effective communication with team members, customers, and vendors.
  • Reliable and dependable, including able to work overtime and on-call.
  • Excellent telephone courtesy knowledge and experience.
  • Contributes to team efforts by using team playbook.
  • Ability to work independently and with minimal supervision.
  • Willingness to learn new skills and take on new tasks.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft Office Suite and industry-specific software (e.g., SimPRO).
  • Ability to handle multiple tasks simultaneously and adapt to changing priorities.
  • Attention to detail and problem-solving skills.

WORKING CONDITIONS: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Work normally performed in a typical interior/office work environment, with minimal exposure to health or safety hazards.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to stand; walk; sit; and requires sufficient hand, arm, and finger dexterity to operate computer keyboard or other office equipment. Substantial time is spent sitting, working on a computer or other office desk type work. Requires visual acuity to read words and numbers and speaking and hearing ability sufficient to communicate in person or over the phone.
