Job summary

Air On Demand, a Cutler Bay HVAC company, seeks a high-level Installation Success Coordinator who thrives on organization, communication, and delivering an exceptional customer experience from start to finish.

You’ll be the heartbeat between customers and the install team, turning installations into 5-star experiences by coordinating schedules, permits, materials, paperwork, warranties, and follow-up to ensure satisfaction.

Qualifications

• HVAC industry experience is preferred.
• Experience using ServiceTitan is highly preferred.
• Permits processing experience is highly preferred.
• Strong organizational and communication skills are essential.
• Ability to juggle multiple projects with attention to detail.
• Maintain a positive, solutions-focused approach under pressure.

Responsibilities

• Schedule installation dates with customers and coordinate crews and timelines.
• Obtain and track permits and coordinate inspections.
• Complete before/after job documentation and invoicing.
• Manage equipment and material ordering and inventory tracking.
• Provide proactive customer communication before, during, and after installation; drive customer satisfaction.

We are growing and looking for a high-level Installation Success Coordinator who thrives on organization, communication, and delivering an exceptional customer experience from start to finish.

This is NOT just a scheduling role. This is the heartbeat between our customers and our install team.

You are the quarterback of the installation process.

From the moment a customer says “Yes” to a new system, you ensure:

• The project is scheduled smoothly
• Permits are handled properly
• Materials are ready
• Paperwork is flawless
• The customer feels confident and cared for
• Nothing falls through the cracks

You turn installs into 5-star experiences.

What You’ll Be Responsible For

Project Coordination

• Schedule installation dates with customers
• Coordinate install crews and job timelines
• Confirm equipment availability and materials
• Track job progress and completion

Permits & Compliance

• Obtain and track required permits
• Coordinate inspections
• Ensure paperwork is accurate and complete

Administrative Excellence

• Complete before & after job documentation
• Process invoicing and closeout paperwork
• Register equipment warranties
• Submit manufacturer rebates
• Ensure maintenance plan enrollments are completed

Inventory & Materials

• Coordinate equipment and material ordering
• Track job-specific inventory
• Communicate with vendors as neededEnsure install crews have everything required

Customer Concierge

• Proactive communication before, during & after installation
• Set expectations clearly
• Follow up after install to ensure satisfaction
• Help create raving fans and 5-star reviews

Experience We’re Looking For

• HVAC industry experience (strongly preferred)
• ServiceTitan experience (highly preferred)
• Permit Processing experience (highly preferred)
