The Human Resources Specialist supports the Director of Human Resources with key people operations functions, including recruitment, onboarding, recordkeeping, training coordination, audits, benefits-related tasks, and employee engagement support. The position is also responsible for limited administrative support to the CEO when assigned, such as calendar coordination and meeting assistance.

Summary of Duties
The role provides administrative and operational support across human resources, including handling correspondence and confidential documentation, maintaining personnel records in the HRIS database, and supporting employment separation processes for voluntary and involuntary cases. The Human Resources Specialist also contributes to compliance by following internal procedures and external regulations, bringing compliance concerns to management, and completing required regulatory training periodically.
Human Resources Responsibilities
- Assist the Human Resources Director with administrative tasks including data entry, copying, filing, mailings, and similar duties.
- Prepare HR-related correspondence such as letters, memos, forms, policies and procedures, reports, and spreadsheets, including confidential documents.
- Coordinate recruitment and onboarding for new hires and temporary personnel, including managing job postings, supporting the hiring manager, screening candidates, scheduling interviews, and maintaining related files.
- Accurately maintain personnel data in the HRIS database.
- Maintain correspondence, notices, files, records, and other related information.
- Manage separation of employment processes for both voluntary and involuntary separations.
- Administer HR procedures, documents, and forms to support consistent communication and HR operations.
- Produce various HR reports through the HRIS system.
- Initiate and respond to inquiries as requested, including research, analysis, and providing recommendations or answers.
- Provide employees with information regarding policies, programs, career development, regulations, issues, options, and related matters.
- Resolve routine employee concerns such as new hire offers, training program availability or scheduling, and onboarding-related matters.
- Respond to employment verification requests and related inquiries.
- May present training or information programs to groups of employees.
- Assist with coordination of employee programs, including benefits, leaves, training, employment, and related programs.
- Conform with and abide by Joint Commission, federal, and state regulations, organizational policies, work procedures, and instructions.
- Work independently and collaboratively on special, nonrecurring, and ongoing projects, and participate in committees and special projects as assigned.
- Maintain confidentiality of information.
- Bring compliance issues to management’s attention.
- Complete regulatory training requirements periodically.
- Work collaboratively across all facets of the position to support hospital goals.
Executive Administrative Support (As Assigned)
- Provide limited administrative support to the CEO, including taking meeting minutes.
- Support calendar coordination, organizing and completing files, and assisting with appointments and scheduling.
- Prepare meeting agendas and support leadership meeting coordination.
- Assist with the Social Squad and Employee Engagement Committee.
- Perform other assigned duties related to executive administration.
Required Qualifications
- Education: Bachelor’s Degree
- Experience: 3 years of general human resources experience
- Focus on recruitment, onboarding, and recordkeeping.
- Experience working with confidential information required.
- Customer-service driven with demonstrated poise, tact, and diplomacy, including handling sensitive and confidential situations.
- Professional and personable demeanor.
- Ability to read and comprehend instructions, correspondence, and memos, with good spelling and grammar skills.
- Proficiency in Microsoft Windows and Microsoft Office Suite, including formatting and producing word processing documents, spreadsheets, and reports.
- Ability to use video conferencing tools, as needed.
- License: Level One Fingerprint Clearance card in the State of Arizona.
- Excellent follow-through and strong attention to detail when composing, typing, proofreading, prioritizing, organizing work, and meeting deadlines.
- Ability to write reports and correspondence and maintain continual attention to detail.
- Excellent telephone etiquette and verbal communication skills.
- Ability to handle and prioritize multiple competing tasks and seek supervisory assistance as appropriate.
- Must maintain confidentiality of highly sensitive information provided by counsel and others.
- Self-starter who can work independently.
- Ability to file alphabetically and operate general office equipment such as facsimile and photocopy machines.
- Regular attendance is required.
- Overtime may be required to fulfill the duties of the position.
Preferred Qualifications
- Bachelor’s Degree preferably in Human Resource Management or Business.
- Three years of general human resources experience, preferably in a hospital environment.
- Certification: Professional in Human Resources (PHR), SHRM Certified Professional (SHRM-CP), or SHRM Senior Certified Professional (SHRM-SCP).
