Job summary

Firefighters First Federal Credit Union in Pasadena, CA seeks a Human Resources Specialist to support employee lifecycle, compliance, HR technology, reporting, and workforce administration. Qualifications

  • Education: Bachelor's degree preferred or equivalent HR experience.
  • 2 years of HR operations, onboarding, compliance, or HRIS experience.
  • 2 years of ADP Workforce Now experience.
  • Experience with Excel and Outlook, including formulas such as VLOOKUP.
  • Understanding of multi-state employment considerations and confidentiality.

Responsibilities

  • Administer onboarding, changes, transfers, and HR communications.
  • Maintain employee data in ADP Workforce Now and other HR systems.
  • Execute Form I-9, E-Verify, labor postings, and unemployment processes.
  • Support leave, ADA accommodations, return-to-work, and workers' comp.
  • Provide admin support for employee relations and investigations.
  • Coordinate recruiting, onboarding, offboarding, and new hire setup.

Human Resources Specialist

Regular Full-Time Pasadena, CA, US

Salary Range: $71,906.00 To $79,896.00 Annually

This position is in office in Pasadena, Monday - Friday, 5 days a week.

Currently, we have an immediate opening for a Human Resources Specialist to join our team! The HR Specialist serves as a key operational partner within the Human Resources function, supporting a broad range of employee lifecycle, compliance, HR technology, reporting, and workforce administration activities. This position is responsible for coordinating and executing critical HR processes that support a multi-state workforce while ensuring operational efficiency, data integrity, regulatory compliance, and a positive employee experience. In addition to day-to-day administration, the role contributes to process improvement initiatives, technology optimization, workflow automation, reporting and analytics, and organizational projects that support the Credit Union’s strategic objectives.

Primary Responsibilities:

  • Administering employee lifecycle transactions, including onboarding, employment changes, transfers, promotions, separations, Personnel Action Form (PAF) coordination, HRIS updates, records management, and employee communications.
  • Maintaining employee data and HR records within ADP Workforce Now, the Employee Information Center (EIC), and other HR systems by performing data entry, validation, auditing, reporting, and issue resolution to ensure accuracy and compliance.
  • Coordinating compliance-related activities, including Form I-9 and E-Verify administration, labor law posting requirements, record retention practices, unemployment claims, State Disability Insurance inquiries, NMLS tracking, Motor Vehicle Record administration, and licensing-related activities.
  • Supporting leave of absence, ADA accommodation, return-to-work, and workers’ compensation processes through case tracking, documentation management, employee and leader communications, record maintenance, and escalation of complex compliance matters.
  • Providing administrative support for employee relations activities, including case intake, documentation preparation, confidential record management, meeting coordination, follow-up communications, and tracking actions associated with investigations, corrective action, coaching, and manager consultations.
  • Coordinating recruiting, onboarding, and offboarding activities, including interview scheduling, candidate communications, pre-employment screening, new hire setup, New Employee Orientation, separation logistics, final paycheck coordination, equipment return, and system provisioning and deprovisioning in partnership with internal business partners.
  • Supporting daily HR department operations through mail administration, notary services, vendor coordination, invoice reconciliation, payroll-related administrative activities, employee recognition programs, company events, safety initiatives, and employee support services.
  • Preparing, analyzing, and maintaining HR reports, workforce metrics, and tracking tools related to employee lifecycle activity, turnover, leave administration, employee relations matters, compliance obligations, and acquisition integration efforts.
  • Identifying and implementing process improvements, workflow enhancements, HR technology solutions, automation opportunities, document management improvements, and AI-enabled tools that improve accuracy, efficiency, compliance, and service delivery.
  • Participating in and coordinating Human Resources projects and organizational initiatives, including onboarding and offboarding modernization, workflow redesign efforts, leave management improvements, policy implementation, acquisition integration activities, and employee experience initiatives.
  • Collaborating with leaders, employees, vendors, and cross-functional business partners to support Human Resources objectives, ensure operational effectiveness, and deliver a high-quality employee experience.
  • Performing other duties, assignments, and projects as needed to support departmental priorities, organizational objectives, and the evolving needs of the Credit Union.

Basic Qualifications:

  • Education: Bachelor’s degree preferred, or an equivalent combination of education and progressively responsible Human Resources experience.
  • Certification: SHRM-CP, PHR, or comparable HR certification preferred but not required.
  • 2 years of experience with Human Resources operations, HR administration, onboarding, compliance, HRIS, or employee lifecycle support experience preferred.
  • 2 years of experience using ADP Workforce Now or a comparable HRIS preferred
  • Experience using Excel, Word, Outlook, including experience working with advanced formulas such as Vlookup in Excel.
  • Working knowledge of employment records, confidentiality requirements, Form I-9/E-Verify, leave administration, accommodation support, workers’ compensation coordination, and multi-state employment considerations preferred.
