POSITION SUMMARY

The HR Specialist provides administrative and operational support to the Human Resources Department, including personnel transactions, employee records, applicant assistance, background checks, and HRIS support. Key responsibilities include responding to inquiries, preparing correspondence, processing personnel changes, maintaining accurate employee data, tracking required documentation, and assisting schools and departments with HR requests. Success in this role requires strong organizational and communication skills, attention to detail, sound judgment, the ability to maintain confidentiality, and a collaborative, customer-focused approach.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepares and processes personnel changes and maintains accurate employee data in the human resources information system.
  • Prepares, organizes, and maintains electronic personnel files and conducts periodic audits to ensure accurate, complete, and consistent records.
  • Assists applicants with the online application process through the applicant tracking system.
  • Receives, organizes, and processes mail, messages, new-hire and benefits paperwork, identification badges, and other office documents and materials.
  • Processes and tracks fingerprinting and background checks for employees.
  • Performs system testing during HRIS updates; serves as advisor regarding HRIS setup for new positions.
  • Assists with system implementations as needed
  • Serves as point of contact for Virginia Employment Commission claims; completes VEC verification forms
  • Performs clerical, administrative, accounting, and budgetary tasks for human resources staff.
  • Responds to written and verbal inquiries from internal and external sources.
  • Maintains confidentiality of employee information, reports, records, correspondence, and communications.
  • Manages multiple tasks and competing priorities while responding to frequent interruptions.
  • Assists with other HR functions and receptionist duties, as needed.
  • Performs other related duties as assigned.

QUALIFICATIONS:

  • Associates degree required; degree field in human resources, business administration, or related field is preferred.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong organizational, customer service, and written and verbal communication skills.
  • Knowledge of standard office practices and equipment.
  • Knowledge of basic accounting and budgetary procedures.
  • Skill in accurate data entry, document preparation, and records maintenance.
  • Ability to manage competing priorities, meet deadlines, and maintain accuracy while responding to frequent interruptions.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

  • The work environment is primarily inside, where the noise and temperature levels are moderate; the worker is not subject to adverse environmental conditions.
  • This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
  • Work requires stooping, kneeling, crouching, reaching, pulling, lifting, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word, and conveying detailed or important instructions to others accurately, loudly, or quickly; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of machines, and determining the accuracy and thoroughness of work.
