Job summary

Diversified Maintenance is seeking a Temporary Human Resources Representative for a 3-month assignment, in-person at our Birmingham office. You will be the primary HR contact for branch management, handling employee relations, payroll discrepancies, and policy interpretations to support operations.

You will conduct workplace investigations, gather statements, and ensure compliance with federal, state, and local laws while partnering with Payroll and Benefits teams to resolve issues efficiently.

Job Description

Diversified Maintenance is hiring a Temporary Human Resources Representative for a 3-month assignment. This temporary position serves as the primary point of contact for branch management regarding general human resources inquiries, benefits issues, employee orientation, resolution of payroll discrepancies, and interpretation of human resources policies and procedures. The Temporary Human Resources Representative is responsible for providing branch-level human resources administration and support throughout the duration of the 3-month assignment.

This role offers an excellent opportunity to contribute to a dynamic HR team while supporting key human resources functions and ensuring a positive employee experience across assigned branches. This is an in-person, office position.

RESPONSIBILITIES:

  • Provide guidance and support on employee relations matters while conducting workplace investigations and partnering with HR leadership to determine appropriate resolutions
  • Conduct workplace investigations involving harassment, discrimination, retaliation, misconduct, policy violations, attendance concerns, workplace conflict, and performance issues
  • Collect employees' statements, supervisors, witnesses, clients, and other stakeholders to gather facts and determine appropriate resolutions
  • Prepare detailed investigative summaries, findings, recommendations, employee statements, and supporting documentation for HR leadership
  • Maintain employee relations case files and investigative documentation with discretion
  • Provide guidance to leaders regarding corrective actions, employee performance concerns, and HR best practices
  • Provide guidance to ensure adherence to federal, state, and local employment laws, company policies, and client requirements
  • Serve as a resource to managers and employees by directing FMLA, ADA, Leave of Absence (LOA), military leave, reasonable accommodation, and other protected leave inquiries to the appropriate internal departments while ensuring timely coordination and communication
  • Partner with internal HR departments to resolve complex employee issues while minimizing organizational risk
  • Develop and facilitate Human Resources training sessions for new and existing managers on policies, employee relations, documentation, and best practices
  • Participate in special HR projects and lead organizational initiatives to support business objectives and operational efficiency
  • Assist with continuous improvement efforts by identifying process enhancements and recommending HR best practices; developing process improvement plans, and lead implementation to resolve deficiencies
  • Investigate payroll discrepancies, pay corrections, overtime concerns, timekeeping issues, and employee compensation matters while partnering with Payroll to ensure accurate and timely resolution
  • Process employee status changes including transfers, separations, organizational changes, and other HR transactions utilizing AD-X, WinTeam, iCIMS, and other HR systems
  • Assist with unemployment claims, employment verifications, and HR compliance documentation
  • Maintain accurate employee records and HR documentation while ensuring compliance with company policies
  • Review pre-employment background screening results and adjudicate cases in accordance with company policy, client requirements, and applicable laws
  • Evaluate criminal history, motor vehicle records (MVRs), and other screening results to determine employment eligibility while ensuring consistency and compliance
  • Partner with Recruiting Manager and HR leadership to communicate adjudication decisions and resolve complex background screening issues
  • Maintain adjudication records and documentation while ensuring compliance with the Fair Credit Reporting Act (FCRA), company policies, and client requirements
  • Partner with Operations leadership to provide proactive HR support across assigned business regions and multiple states
  • Build collaborative relationships with managers to support operational effectiveness and consistent HR practices
  • Serve as a liaison between Operations and Corporate HR departments, including Payroll, Benefits, Leave Administration, Workers' Compensation, Recruiting, Legal, and other internal departments to resolve employee and operational issues
  • Manage multiple priorities while meeting deadlines in a fast-paced, high-volume environment
  • Provide guidance to managers regarding company policies, workplace investigations, documentation standards, employee relations, and progressive discipline

QUALIFICATIONS (MUST HAVE):

  • Must possess one or more of the following:
    • Associate’s degree in Human Resources, Business, or related field with a minimum of two (2) years of progressively responsible human resources experience
    • High school diploma or equivalent with a minimum of three (3) years of progressively responsible human resources experience
  • Current state driver’s license, maintains a clean driving record, and meets minimum insurance requirements as per Company policy, and ability to safely operate a personal vehicle
  • Minimum of two (2) years of progressively responsible Human Resources experience
  • Experience conducting employee relations investigations, documenting findings, and providing recommendations to leadership
  • Experience reviewing pre-employment background screenings and adjudicating cases in accordance with company policy and applicable laws
  • Experience investigating payroll discrepancies and utilizing HRIS platforms
  • Strong knowledge of employee relations, workplace investigations, HR policies, and employment law
  • Ability to manage multiple priorities, exercise sound judgment, and meet deadlines in a dynamic, high-volume environment
  • Excellent interpersonal, organizational, and communication skills with the ability to effectively coach managers and build relationships at all levels of the organization
  • Ability to maintain sensitive employee and business information with utmost discretion
  • Ability to work independently, adapt to changing business needs, and collaborate effectively across multiple departments
  • Willingness and ability to travel throughout the assigned business regions, including occasional overnight travel

PREFERRED QUALIFICATIONS (NICE TO HAVE):

  • Bachelor’s degree in Human Resources, Business, or related field
  • Prior Human Resources experience supporting a high-volume, multi-state workforce
  • Experience in Microsoft Office Suite and HRIS platforms such as AD-X, WinTeam, iCIMS, or similar systems
  • Professional Human Resources certification (SHRM-CP, SHRM-SCP, PHR, or SPHR)
  • Experience conducting workplace investigations and resolving employee relations matters
  • Working knowledge of federal and state employment laws and HR compliance
