Job summary

AIT Worldwide Logistics, a Chicago-based global freight forwarder, seeks an HR Operations Coordinator to manage North America onboarding and related HRIS tasks. You’ll support onboarding schedules, I-9 validation, and data integrity across HR systems, collaborating with global HR and IT teams.

You will assist with onboarding, promotions, transfers, and offboarding while contributing to process improvements and documentation. Bachelor’s preferred, bilingual in Spanish and English a plus.

Qualifications

• 1+ years of HR Operations or HRIS experience in fast paced, growth organizations (required).
• 1+ years prior global experience (preferred).
• Experience with HR data, onboarding, transfers and offboarding processes.

Responsibilities

• Administer the full North America onboarding process and new hire records in HRIS.
• Coordinate onboarding schedules and validate I-9 documentation (virtual or on-site).
• Support Mergers & Acquisitions activity with new hire paperwork.
• Maintain HR data integrity through audits and system updates.
• Create and update SOPs, process documents and knowledge articles.

Overview
The Human Resource Operations Coordinator will support the successful administration of HR Operations processes within the Total Rewards Center of Excellence as part of the AIT Human Resources team. This position will initially largely focus on administering the full onboarding process, in addition to supporting teammate transactions surrounding promotions, transfers and offboarding within our HR system. They will work collaboratively with global HR and cross-functional teams to ensure compliance, data quality and integrity.
Responsibilities

• Administer the full North America onboarding process to ensure best-in-class onboarding experience for new hires. Administer new hire onboarding packets and new hire records within HRIS system.
• Support managers in creation and finalization of new hire onboarding schedules.
• Conduct virtual or coordinate on-site I-9 documentation validation for new hires.
• Support Mergers & Acquisitions activity including gathering of new hire paperwork and I-9s
• Administer new hire onboarding tasks within ServiceNow HR Service Delivery tool following up with task owners, to ensure timely completion and provide guidance and answering questions.
• Provide support on best practice processes for global onboarding with regional partners.
• Collaborate with IT and all HR functional areas (Talent Management, Recruiting, Payroll, Benefits, Compensation, Learning & Development & HR Culture Programs) on HRIS data updates, questions, or concerns.
• Update teammate data in the HR system of record for promotions, job changes/transfers and terminations.
• Monitor/Respond to HR Cases (questions, concerns, report requests) from teammates using ServiceNow HR Service Delivery tool, adhering to internal KPIs and SLAs. Escalate trends or broader issues for review and resolution.
• Assist with the maintenance of HR data integrity by performing regular data audits and running/reviewing reports
• Assist with offboarding and other teammate lifecycle events that take place in the HR system.
• Create and update standard operating procedures, process documents and knowledge articles.
• Assist with special projects as required.

• The wage range for this position is $26.40-$37.20 and may vary based on geography as well as relative knowledge, skills, abilities, and experience.
