Job summary

Wonderful College Prep Academy in California’s Central Valley is seeking an HR Office Assistant (Temporary) to support recruitment, onboarding, employee records, and compliance activities.

This role involves answering calls, filing, maintaining confidential personnel records, and assisting with HR initiatives. Schedule is Monday–Friday, 7:30 am–4:30 pm, with pay $19.00–$22.00 per hour and full-time benefits for a temporary staff member.

Qualifications

  • High school diploma or equivalent required; associate’s degree in Human Resources, Business Administration, or a related field preferred
  • Experience in administrative, clerical, customer service, or office support preferred
  • Experience with Microsoft Office Suite; familiarity with an HRIS preferred

Responsibilities

  • Answer and direct incoming phone calls, take messages, and provide administrative support to employees, applicants, and visitors
  • Provide administrative and clerical support to the Human Resources department, including filing, document preparation, correspondence, copying, scanning, and record maintenance
  • Enter, update, and maintain employee information in HR databases, spreadsheets, and filing systems
  • Assist with monitoring office and HR supply inventory; prepare purchase requests or purchase orders and coordinate department purchases
  • Assist with scheduling meetings, interviews, orientations, training sessions, conferences, travel arrangements, and other department activities
  • Support employee recognition and engagement programs and assist with onboarding documentation

The HR Office Assistant (Temporary) provides administrative support to the Human Resources department by assisting with recruitment, onboarding, employee records, and compliance activities. This role helps maintain accurate and confidential personnel records, supports day-to-day HR operations, and assists with HR initiatives to ensure efficient and effective delivery of human resources services.

Essential job duties:
  • Answer and direct incoming phone calls, take messages, and provide administrative support to employees, applicants, and visitors
  • Provide administrative and clerical support to the Human Resources department, including filing, document preparation, correspondence, copying, scanning, and record maintenance
  • Operate standard office equipment, including copiers, scanners, fax machines, and other office technology
  • Maintain organized, accurate, and confidential HR filing systems, including electronic and paper personnel records
  • Enter, update, and maintain employee information in HR databases, spreadsheets, and filing systems, ensuring accuracy and confidentiality
  • Assist with monitoring office and HR supply inventory; prepare purchase requests or purchase orders and coordinate department purchases as needed
  • Assist with scheduling meetings, interviews, orientations, training sessions, conferences, travel arrangements, and other department activities as assigned
  • Support employee recognition and engagement programs, including Employee of the Month, birthdays, service anniversaries, and other employee appreciation initiatives by preparing recognition materials, managing inventories, and coordinating timely distribution
  • Assists with new hire onboarding bypreparing onboarding materials, scheduling orientations, creating personnel files, and ensuring new hire files are complete
  • Support employee separation process by preparing separation paperwork, maintaining required documentation, and appropriately archiving personnel files
  • Maintain accurate, complete, and confidential employee personnel files in accordance with company policies, legal requirements, and record retention guidelines
  • Conduct periodic audits of personnel files, including Form I-9, tuberculosis (TB) documentation, licenses, certifications, and HR records to ensure accuracy and compliance
  • Assist with employment verification requests, Employment Development Department (EDD) forms, and other employment-related documentation
  • Support recruitment activities by posting job openings, scheduling interviews, coordinating candidate communications, and assisting with applicant tracking
  • Ensure confidentiality of employee information and sensitive HR records while adhering to company policies and applicable federal, state, and local regulations. Perform other related duties and special projects as assigned
  • High school diploma or equivalent required; associate’s degree in Human Resources, Business Administration, or a related field preferred
  • One (1) year of administrative, clerical, customer service, or office support experience preferred
  • Experience using Microsoft Office Suite required; experience with an HRIS is preferred
  • Clearance of FBI/DOJ
  • TB clearance
  • Mandated reporter certificate
  • Experience in working with a diverse student population

  • Basic computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

  • Ability to learn and use Human Resources Information Systems (HRIS) and other business software
  • Ability to establish and maintain effective working relationships with employees, applicants, vendors, and the public
Working Conditions:
  • Environment: Office environment; fast-paced work, constant interruptions
  • Physical requirements: Hearing and speaking to exchange information, make presentations and communicate over the telephone; seeing to read, prepare, and proofread documents and view computer monitors; sitting or standing for extended periods of time; dexterity of hands and fingers to operate a computer keyboard and other office equipment; kneeling, bending at the waist, and reaching overhead, above the shoulders and horizontally, to retrieve and store files and supplies; lifting light objects; ability to go to sites apart from primary office to conduct business.
Schedule:

Monday - Friday, 7:30 am - 4:30 pm

Pay Range:

$19.00 - $22.00 /Hour. Final compensation will be dependent upon skills & experience.

This is a temporary role from August 1, 2026, to February 1, 2027.
