Job Description
Recruitment, Onboarding, and Employment Administration

Serves as the primary departmental contact for faculty, staff, OPS, and visiting scholar recruitment activities. Coordinates the full recruitment lifecycle, including position description development, job requisitions, recruitment advertising, applicant tracking, interview coordination, reference and credential verification, hiring proposal preparation, and onboarding activities. Advises hiring managers regarding University, College, and regulatory requirements associated with recruitment and employment actions.

Facilitates employee onboarding and offboarding processes, ensuring completion of required documentation, employment eligibility verification, system access requests, and departmental orientation. Coordinates with College Human Resources, UF Human Resources, hiring managers, and new employees to ensure a seamless employee experience.

Administers immigration-related processes for foreign national employees and visiting scholars. Serves as departmental liaison with UF International Center (UFIC), Environmental Health & Safety (EH&S), College HR, and sponsoring faculty to facilitate visa sponsorship activities and ensure compliance with university, state, and federal employment authorization requirements. Monitors visa expirations and maintains required documentation.

Coordinates department HR deadlines, workforce planning activities, and personnel actions to ensure timely completion of hiring, reappointments, separations, and related employment transactions.35% Graduate and Undergraduate Students – Responsible for ensuring the letters of appointment and renewal letters for all Graduate Assistants. Ensure all Letters of Appointment and GA tuition waivers are submitted accurately. Works closely with the Research Administrator and Assistant Director to ensure accuracy. Coordinates volunteer and observer opportunities with sponsoring faculty. Processes OPS/STAS/FWS appointments.

Graduate Student and OPS Human Resource Administration

Administers graduate assistant, student assistant, Federal Work Study, OPS, volunteer, and observer personnel processes. Coordinates appointments, reappointments, funding changes, and separations while ensuring compliance with University policies, graduate school requirements, and applicable employment regulations.

Prepares and manages Graduate Assistant Letters of Appointment, reappointment notices, tuition waivers, and associated personnel transactions. Collaborates with faculty, the Research Administrator, Assistant Director, College HR, and other stakeholders to ensure appointment accuracy, funding alignment, and timely processing.

Maintains appointment records, monitors appointment deadlines, and provides guidance to students, faculty, and supervisors regarding employment policies, procedures, and requirements.

Human Resources Transactions and Employee Relations Support

Serves as departmental ePAF Originator and initiates a wide range of personnel transactions including hires, reappointments, terminations, leaves of absence, FTE changes, funding updates, pay adjustments, additional compensation, vacation leave cash-outs, Persons of Interest, and other employment actions.

Prepares payroll distributions and maintains required supporting documentation within University recordkeeping systems. Serves as a liaison with College Human Resources regarding personnel actions, policy interpretation, employee relations matters, and complex HR issues. Advises faculty, supervisors, and administrators on human resource policies, procedures, and best practices.

Ensures compliance with University regulations, state and federal employment requirements, and records retention standards.

Faculty Evaluation, Promotion, and Review Administration

Administers faculty promotion and tenure (T&P), post-tenure review (PTR), and related faculty evaluation processes. Provides guidance to faculty and leadership regarding timelines, procedures, and documentation requirements. Coordinates collection and review of materials, management of external reviewer solicitations, faculty voting processes, and submission of required documentation through University systems.

Maintains records, monitors deadlines, and ensures compliance with College and University policies governing faculty review processes.

Payroll and Time Administration

Coordinates departmental payroll and time reporting activities for faculty, staff, OPS employees, and students. Reviews payroll records, pay lists, and time reporting submissions for accuracy and completeness. Ensures departmental payroll actions are submitted and approved by established deadlines and works with supervisors and central offices to resolve discrepancies.

Maintains payroll approval structures, reporting relationships, and time approval groups as needed.

Records Management, Reporting, and Administrative Support

Maintains confidential personnel records and departmental HR files in accordance with University records retention requirements. Manages UF affiliations, UFID creation requests, departmental directories, and workforce records.

Prepares employment-related reports and HR data for leadership decision-making. Performs special projects and other related duties as assigned in support of departmental operations.

$59,500-$61,500; commensurate with qualifications and experience.

Required Qualifications

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred
  • Knowledge of UF HR systems.
  • Experience managing Graduate Student Appointments, Tuition Waivers, and visa processes for foreign nationals is strongly preferred.
  • State of Florida Notary Public.
