Job summary

Discovery Cube in Orange County and Los Angeles campuses seeks an HR Coordinator to support essential HR processes, including recruitment, onboarding, and employee records, working closely with the Senior HR Manager and HR Operations Manager to ensure a smooth employee experience.

You will handle pre-employment checks, orientation, benefits support, and leave administration while maintaining HRIS data accuracy and compliance.

Qualifications

  • 2+ years of administrative or HR experience preferred.
  • Experience with HRIS/payroll systems such as ADP preferred.
  • Experience in recruiting coordination, onboarding, or employee relations support preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office and/or Google Workspace.

Responsibilities

  • Coordinate recruitment efforts for both campuses and track applicant flow.
  • Screen resumes and pre-screen hourly and entry-level candidates.
  • Schedule and coordinate interviews with hiring managers and candidates.
  • Maintain applicant tracking systems and candidate records.
  • Coordinate and complete pre-employment requirements including background checks and references.
  • Prepare and send offer letters and onboarding documentation.
  • Coordinate new hire paperwork and ensure timely completion of required forms.
  • Facilitate new hire orientation and first-day processes.
  • Set up employee email accounts, ADP access, and timeclock/fingerprint enrollment.
  • Coordinate and track fingerprinting and Live Scan requirements for employees and volunteers.
  • Maintain and update employee records and files for both campuses.
  • Process hires, terminations, transfers, promotions, and status changes in ADP.
  • Ensure HRIS and personnel records are accurate, complete, and compliant.
  • Maintain data integrity and generate reports as needed.
  • Coordinate and track completion of required compliance trainings, including Mandated Reporter, Harassment Prevention, Workplace Violence Prevention, Food Handler’s, and safety.
  • Monitor training completion deadlines and send reminders.
  • Support audit preparation and compliance reporting.
  • Support employee engagement initiatives and internal recognition programs, including Safety Star Program, Spotlight Board updates, monthly birthdays and anniversaries communications, monthly Starbucks birthday gift cards, monthly Cube newsletter contributions.
  • Assist with planning and coordinating employee events, milestones, and recognition activities.
  • Coordinate offboarding processes, including scheduling exit interviews.
  • Prepare separation and final employment documents.
  • Process terminations and status changes in HRIS.
  • Coordinate retrieval of company property and systems access removal.
  • Complete and submit EDD notices related to unemployment and disability claims.
  • Assist with documentation related to leave administration and employee status updates.
  • Serve as a first point of contact for employee HR-related questions.
  • Provide administrative support to the Senior HR Manager and HR Operations Manager.
  • Support continuous improvement of HR processes and workflows.
  • Assist with special projects and other duties as assigned.

Position:

The HR Coordinator provides essential administrative and operational support to the Human Resources function across both the Orange County and Los Angeles campuses. This role is responsible for coordinating key employee lifecycle processes, including recruitment, onboarding, employee engagement, compliance training, and offboarding. The HR Coordinator ensures a smooth and consistent employee experience by maintaining accurate records, supporting timely communication, and executing HR processes with efficiency, professionalism, and attention to detail. This role serves as a key point of contact for employees and candidates, while partnering closely with the Senior HR Manager and HR Operations Manager to support organizational goals and day‑to‑day HR operations.

Responsibilities:
  • Coordinate recruitment efforts for both campuses, including posting open positions, maintaining job advertisements, and tracking applicant flow.
  • Screen resumes and pre‑screen candidates for hourly and entry‑level positions.
  • Schedule and coordinate interviews with hiring managers and candidates.
  • Maintain applicant tracking systems and candidate records.
  • Coordinate and complete pre‑employment requirements including background checks, reference checks, and other onboarding prerequisites.
  • Support hiring managers with 30/60‑day review reminders and follow‑up.
  • Prepare and send offer letters and onboarding documentation.
  • Coordinate new hire paperwork and ensure timely completion of required forms.
  • Facilitate new hire orientation and first‑day processes.
  • Set up employee email accounts, ADP access, and timeclock/fingerprint enrollment.
