Advance Transit is seeking a Human Resources Coordinator to provide administrative and operational support to the HR department in Hartford, VT.

Qualifications

  • Experience with HRIS and benefits administration desirable.

Job description

The Human Resources Coordinator provides administrative and operational support to the Human Resources Department. This position is responsible for coordinating recruitment activities, onboarding, employee records management, benefits administration, training coordination, leave tracking, payroll support, and compliance functions. The Human Resources Coordinator serves as a resource to employees and assists in ensuring that Human Resources programs and services are delivered accurately, efficiently, and in compliance with applicable laws, regulations, and Advance Transit policies.

Essential Functions
  • Assists with recruitment efforts including job postings, applicant tracking, interview scheduling, reference checks, and candidate communications.
  • Coordinates onboarding activities for new employees including orientation, employment paperwork, and required training assignments.
  • Completes I-9 verification and maintains I-9 records in compliance with federal regulations.
  • Maintains accurate and confidential employee personnel files and electronic records.
  • Processes employee status changes, wage adjustments and transfers.
  • Assists with benefits administration including enrollments, changes, terminations, and employee inquiries.
  • Assists with the administration and tracking of employees leaves, including FMLA, personal leave, workers’ compensation, and ADA-related documentation.
  • Assists with payroll processing activities and verifies employee information within HR systems.
  • Prepares reports, spreadsheets, and other Human Resources correspondence.
  • Supports employee recognition programs, wellness initiatives, and employee engagement activities.
  • Responds to employee inquiries regarding policies, benefits, payroll, and Human Resources procedures.
  • Assists with compliance reporting and recordkeeping requirements related to employment laws and regulations.
  • Supports annual open enrollment and other Human Resources projects.
  • Maintains and updates Human Resources forms, procedures, and documentation.
  • Assists with maintaining the Employee Handbook and Human Resources policies.
  • Maintains confidentiality of all employee, payroll, medical, and organizational information.

  • Experience with Human Resource Information Systems (HRIS) preferred.
Travel

Travel is primarily local during the business day, although occasional out-of-area and overnight travel may be required for training, conferences, and professional development opportunities.

Required Education and Experience
  • Associate degree in Human Resources, Business Administration, or related field preferred; relevant experience may substitute for education.
  • Two to four years of Human Resources, payroll, benefits, or administrative experience preferred.
  • SHRM-CP, PHR, or related Human Resources certification preferred but not required.
