Qualifications

Human Resources Assistant- Onboarding Team

Classification: Temporary Position

Position Purpose

The Human Resources Assistant provides specialized administrative and clerical support to the Human Resources Department, with a focus on onboarding and employee services. As part of the Onboarding Team, the HR Assistant plays a key role in facilitating new hire orientation, coordinating training and recruitment efforts, managing employee records, supporting benefits administration, and assisting with special projects. This position also works closely with the Human Resources Manager to support a range of personnel functions and contribute to the overall effectiveness and success of the agency’s HR operations.

  • Conduct weekly orientation sessions to provide employees with information about agency policies, procedures, payroll, standards of conduct, and benefit plans.
  • Lead and facilitate new hire orientations, serving as the primary point of contact for new hire inquiries and ensuring smooth communication between the organization and new employees.
  • Process new hire documentation, including payroll forms, I-9 verifications, and the collection of licenses, insurance, and renewal dates, as applicable.
  • Support the onboarding process by drafting and sending job offer letters to approved candidates and rejection notifications to those not selected for hire.
  • Guide new employees through onboarding requirements, such as document submission, background checks, Live Scan fingerprinting, and health assessments.
  • Assist with internal and external job postings, applicant screening, interviews, and the selection and hiring process.
  • Provide technical assistance in developing job announcements, job descriptions, and processing personnel status changes.
  • Maintain employee personnel and medical files, ensuring accurate and confidential recordkeeping.
  • Track performance evaluation and health assessment due dates, notifying supervisors as needed.
  • Assist in managing the agency’s safety program to ensure compliance and promote a safe work environment.
  • Obtain certification as a Master Trainer by participating in the AIDET (Acknowledge, Introduce, Duration, Explanation, Thank You) train-the-trainer program.
  • Conduct AIDET customer service training for new hires during orientation and deliver refresher sessions for existing staff as needed.
  • Provide daily verbal and written support to supervisors regarding personnel matters and updates on new hires.
  • Process personnel status changes, Motor Vehicle Reports (MVRs), and other required documentation.
  • Support recruitment efforts by attending job fairs and other recruitment events as needed.
  • Perform other duties as assigned.
Requirements
  • High school diploma or equivalent; associate or bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 1-2 years of experience in human resources, onboarding, or a related administrative role.
  • Strong public speaking and presentation skills; must be comfortable presenting to individuals and groups in a clear, engaging, and professional manner.
  • Ability to lead new hire orientations, deliver training content, and communicate policies and procedures effectively to diverse audiences.
  • Excellent verbal and written communication skills with the ability to explain complex information in an accessible way.
  • Proven ability to build rapport with employees at all levels and foster a welcoming and inclusive environment.
  • Detail-oriented with strong organizational and time management skills; able to manage multiple tasks and deadlines.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with HRIS or applicant tracking systems is a plus.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Bilingual in English and Spanish is a plus.
