Human Resources Assistant - Hybrid | New York, NY

Reporting to: Associate Director, Human Resources

Location: NYC Headquarters | Hybrid

Job Type: Full-Time, Non-Exempt (Hourly)

Compensation: $24.00-$26.00 per hour

Join a Hospitality Company That's Changing the Way People Stay

Furnished Quarters is a privately owned, LGBTQ+ diverse company and one of the largest independently owned providers of short-term furnished housing. For over 25 years, we've been redefining the guest experience with curated apartment stays in vibrant cities across the globe. Now we're looking for a proactive, detail-oriented Human Resources Assistant to join our Human Resources team in New York and help us deliver a responsive, people-first employee experience.

What You'll Do

As the Human Resources Assistant, you'll be a first point of contact for employees, managers, and candidates across the organization. On a typical day, you'll respond to HR requests, coordinate interviews and onboarding, keep personnel records accurate and confidential, and track training, compliance, and performance review deadlines. You'll also lead new-hire orientation, support employee engagement initiatives, and find practical ways to streamline HR work.

Your responsibilities will include:
  • Respond to routine employee inquiries, track HR requests, and escalate complex matters to HR leadership.
  • Prepare and distribute employee communications, company announcements, and HR reminders.
  • Support recruiting activities, including posting jobs, reviewing applications, scheduling interviews, and assisting with candidate screenings.
  • Coordinate background checks, offer letters, new hire paperwork, and onboarding requirements.
  • Prepare and independently conduct new hire orientations, maintain presentation materials, and coordinate onboarding follow-up.
  • Maintain onboarding and offboarding checklists, assist with employee changes, and coordinate equipment and system access.
  • Assign and track required safety and compliance training courses, monitor completion, and follow up on overdue assignments.
  • Assist with benefits enrollment, leave administration, and other HR processes through documentation, tracking, and employee communications.
  • Maintain accurate and confidential employee records, assist with Form I-9 and E-Verify processes, and support compliance documentation.
  • Track performance review deadlines, send reminders, and maintain related records.
  • Help plan and coordinate employee engagement activities, company events, recognition programs, and wellness initiatives.
  • Maintain HR systems, employee information, organizational charts, and internal resources.
  • Update HR procedures, maintain assigned tasks in Asana, and use technology and AI tools to support administrative efficiency.
  • Participate in cross-training across HR functions, including recruiting, benefits, payroll, training, and performance management, to provide departmental backup support.
What Makes This Role Unique
  • Gain hands-on experience across recruiting, onboarding, training, benefits, and HR operations.
  • Play a key role in welcoming employees by conducting new hire orientation.
  • Gain experience using HR systems, AI tools, and automation to make processes more efficient. You'll use modern tools, including AI, to build smarter HR processes and reduce manual work.
  • Join a team that values Challenge, Collaboration, Care, Career, and Community.
What We're Looking For
  • High school diploma or equivalent required; an associate's or bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
  • 0–2 years of HR, administrative, recruiting, or related experience; internships and relevant academic experience are welcome.
  • Strong communication and interpersonal skills, including comfort presenting information to individuals and small groups.
  • Excellent organization, attention to detail, and ability to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Office and willingness to learn new systems and technology.
  • Ability to handle confidential information professionally and follow established procedures.
  • Interest in HR operations, employee engagement, training, and professional development.
  • Experience with ADP Workforce Now, JazzHR, Asana, DocuSign, or AI tools such as Claude is a plus.
  • Hospitality, customer service, or multilingual experience is a plus.
