Job Summary

Responsible for providing administrative support to the HR function, performing various duties within human resources including: HRIS input into Workday, new employee onboarding, administration of benefit changes, reporting, auditing, and miscellaneous support.

Hourly Range: $25.00-30.00

Final pay determinations will depend on various factors, including, but not limited to experience level, education, knowledge, skills, and abilities.

Responsibilities

  • General administrative duties including but not limited to upkeep of employee files, both electronic and physical, preparation and distribution of communications, maintenance of bulletin boards, video displays, and meeting coordination.
  • May have responsibilities to assist in staffing related processes.
  • Assist employees with Employee Relations-related questions and/or directs them to the source for information, as appropriate.
  • Assist with on-boarding new hires/contractors, such as keying into Workday, presenting at NEO.
  • Administers off-boarding process
  • May support, based on facility, specific processes, i.e., new hires, presenting at New Employee Orientation (NEO), terminations, exit interviews, etc.
  • Ability to listen to employee questions and escalate to Human Resources Manager as appropriate.
  • HRIS input for promotions/transfers/demotions/terminations/cost center changes, etc.
  • Tracking of approvals for employee changes, communicating to leaders for approvals as appropriate.
  • Prepares and distributes documentation related to job changes, promotions, and compensation adjustments.
  • Monitors revisions to job descriptions and obtains required signatures
  • Generates reports from HRIS, i.e., new hire report, termination report, employee roster, negative/excess vacation, and any ad hoc reports as needed.
  • Process department’s incoming/outgoing mail.
  • Supports the audit of the HRIS system and HR processes to ensure appropriate compliance, including review of the overall process, ensuring work instructions are updated and/or communicated to the appropriate person.
  • Maintains Organizational charts as required. May have additional responsibility of providing higher level visibility, i.e., entire U.S. organization.
  • Supports Leave Administrator as needed about the Leave of Absence (LOA) process.
  • Administers programs, based on location, i.e., Tuition Reimbursement, Safety equipment/PPE, Employee Referrals, Service Award Programs, etc.
  • High degree of interpersonal interactions with internal and external customers.
  • Other duties and projects as assigned, i.e., employee events.
  • Based on Facility some responsibilities below may be assigned: supports or may administer the background check process and verifications of employment, assists management and the payroll department to consolidate overtime reporting and tracking as required.
  • Responsible for department supplies and equipment, exercising sound judgement, preparing purchase orders as directed and reconciling department purchasing credit card on time.
  • All employees are responsible for ensuring the compliance to company documents, programs and activities related to the Health, Safety, Environment, Energy, and Quality Management Systems, as per your roles and responsibilities.
