Manage core HR coordination for a healthcare-focused environment, supporting compliance, personnel administration, and employee lifecycle processes.
Responsibilities
- Assist in planning, developing, organizing, implementing, and evaluating HR department functions.
- Maintain written job descriptions and performance evaluations for staff positions in line with applicable laws.
- Review requests for new or replacement personnel, fill approved requests, and coordinate interviews and appointments.
- Check applications and references for prospective employees and arrange interviews as required or directed.
- Maintain job application records for personnel eligible to work for the company.
- Keep employee information confidential in accordance with the Privacy Act and company policies for release of information.
- Verify employees’ right to work, obtain required documentation, and file documentation in employee personnel records.
- Maintain a personnel record filing system that supports company needs and complies with current employment practices.
- Ensure compliance with federal and state employment regulations covering wages, overtime, and work hours, including worker’s compensation.
- Support compliance with hiring and discharge policies and procedures.
- Assist with onboarding orientation and explain HR-related policies and procedures, including payroll and grievance procedures.
- Provide department directors with updates related to personnel matters.
- Prepare written and oral reports and recommendations to the Manager of Human Resources and/or Administrator regarding personnel needs and problem areas.
- Complete administrative requirements such as forms and reports and submit them as required.
- Conduct employee background checks in accordance with company policy.
- Report unauthorized attempts to access facility information systems.
- Assist with recruitment, selection, and training support for competent personnel.
- Hire personnel according to established hiring practices.
- Arrange pre-employment testing and physicals when required by company policy.
- Process new hire personnel information and assist with changes in status and payroll-related updates.
- Assist in keeping professional licenses and certifications up to date.
- Support scheduling work hours, work assignments, and vacation schedules as required or requested.
- Maintain records for counseling, warnings, and other corrective actions.
- Terminate employees when necessary, ensuring documentation and coordination with the Department Director and/or Administrator.
- Conduct exit interviews as requested and ensure information is added to employee personnel records.
- Report known or suspected time card concerns to appropriate leadership.
- Create and maintain a positive workplace atmosphere and promote teamwork, mutual respect, and effective communication.
- Participate in corrective action plans for inspection survey findings and implement designated follow-up.
- Promote safe work practices, safety rules, and accident prevention; treat employees with dignity and respect.
- Follow company compliance standards, business conduct expectations, and state/federal regulatory guidelines.
- Maintain confidentiality of protected health information, including verbal, written, and electronic communications.
- Report policy noncompliance, breaches in confidentiality, retaliation, or discrimination to the Manager of Human Resources, Senior VP of People and Culture, Administrator, or a compliance officer.
- Report allegations of abuse, neglect, misappropriation, exploitation, or mistreatment of patients and protect patients from abuse; cooperate with investigations.
- Report occupational exposures to blood, body fluids, infectious materials and/or hazardous chemicals according to facility policy.
- Participate in life safety and emergency drills and fulfill responsibilities related to the facility emergency plan when assigned.
- Report work-related injuries and illnesses immediately, document appropriately, and enter them in the HRIS and worker’s compensation systems.
- Follow infection control policies and procedures where applicable.
- Complete all assigned training as a condition of employment.
Requirements
- High school diploma or an associate’s degree in human resources or business administration (associate’s preferred).
- Onboarding, offboarding, and employee benefits experience (preferred).
- Basic understanding of HR and applicable state and federal employment laws and practices.
- Read, write, speak, and understand English.
- Knowledge of administrative practices and procedures related to employment law, wage and hours rules, labor relations, OSHA, and the Privacy Act.
- Ability to act as a liaison between personnel and management.
- Supportive team approach; contributes to and models teamwork.
- Ability to make independent decisions when circumstances warrant.
- Tactful communication with personnel, patients, family members, visitors, government agencies/personnel, and the public.
- Patience and tact when working with difficult patients, family, and staff.
- Must not pose a threat to health and safety of others in the workplace.
- Ability to move intermittently throughout the workday.
- Meets general health requirements per company policy, including medical/physical exams and immunity status checks.
- Ability to work beyond normal working hours and on weekends and holidays when necessary.
- Ability to assist with evacuations during emergency situations.
- Ability to bend, stoop, kneel, crouch, perform overhead lifting, and complete common physical movements as needed.
- Willingness to be called back during emergency conditions.
- Works in office.
- Ability to complete tasks despite frequent interruptions.
- Complete all assigned training as a condition of employment.
