Job summary

Qualifications

RHI Magnesita is seeking a detail-oriented Health, Safety, and Environmental (HSE) Administrator to support the day-to-day administration of our HSE programs. In this role, you will help maintain compliance, manage critical safety documentation, coordinate training activities, and support reporting and operational safety initiatives. This position is ideal for someone who thrives in a highly organized environment and is passionate about workplace safety and continuous improvement.


What You’ll Do

Documentation & Records Management


  • Maintain and control HSE documentation, including policies, procedures, permits, training records, and compliance files.

  • Manage the Safety Data Sheet (SDS) database, ensuring accuracy, accessibility, and regulatory compliance.

  • Track expiration dates for licenses, certifications, medical surveillance requirements, and other compliance-related records.

  • Organize and archive safety meeting minutes, inspection reports, audit findings, and supporting documentation.


Data Management & Reporting


  • Enter, track, and maintain key HSE performance metrics, including incident data, near misses, inspections, corrective actions, and compliance activities.

  • Prepare weekly, monthly, and quarterly HSE reports, dashboards, and performance summaries.

  • Support incident investigations by compiling documentation, photographs, witness records, and follow-up actions.

  • Assist with internal and external regulatory reporting requirements, including OSHA, EPA, and corporate submissions.


Training & Communication


  • Coordinate and schedule HSE training programs and safety meetings.

  • Maintain training records, attendance logs, certifications, and qualification tracking.

  • Distribute safety communications, toolbox talks, alerts, and awareness materials across the workforce.

  • Assist in the creation of presentations, posters, and safety campaign materials.


Administrative Support


  • Manage calendars and schedules for inspections, audits, compliance activities, and regulatory deadlines.

  • Coordinate safety committee meetings, agendas, action items, and meeting minutes.

  • Process purchase requests and maintain inventory records for PPE, first aid supplies, signage, and other safety-related materials.

  • Track, organize, and file completed permits, including confined space entry, hot work, and lockout/tagout (LOTO) documentation.


Operational Support


  • Assist with the scheduling, tracking, and documentation of workplace inspections.

  • Support emergency preparedness efforts by maintaining drill documentation and readiness records.

  • Contribute to continuous improvement initiatives that strengthen safety performance and regulatory compliance.


What You Bring


  • Strong organizational and administrative skills with exceptional attention to detail.

  • Experience managing records, databases, and confidential documentation.

  • Proficiency with Microsoft Office applications, particularly Excel, Word, and PowerPoint.

  • Ability to compile reports, analyze data, and maintain accurate records.

  • Strong communication and interpersonal skills with the ability to interact across multiple departments.

  • Experience supporting health, safety, environmental, or compliance programs preferred.

  • Knowledge of OSHA regulations, safety documentation requirements, and compliance processes is a plus.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
