Overview

Fenchel Family Law PC is a fully remote, high-performing boutique family-law firm representing Bay Area professionals in complex divorce, custody, and financial matters. We’re known for elite client service, strong systems, and a people-first culture. We’re hiring a People & Systems Specialist with proven law-firm experience—ideally from the Bay Area—to manage HR, payroll, recruiting, vendors, and firm technology systems. This is not a training role. You’ll bring established best practices from prior firms and implement them immediately.

Responsibilities

People Operations & HR

  • Manage onboarding, offboarding, benefits, attendance, and PTO in Gusto.
  • Run payroll and bonus tracking tied to revenue, origination, and client-satisfaction metrics.
  • Maintain accurate compensation records and prepare monthly performance reports.
  • Handle full-cycle recruiting—post jobs, screen candidates, schedule interviews, and respond promptly via LinkedIn, Indeed, and ZipRecruiter.
  • Coordinate offer letters, HR compliance, and California employment documentation.
  • Maintain and track performance metrics for each role; schedule and organize review cycles.
  • Create systems to recognize and celebrate achievements and strengthen our remote team culture.
  • Plan firm retreats, meetings, and team-building events (virtual and in-person).

Systems, Vendors & Process Management

  • Build and maintain checklists, workflows, and policies to streamline HR and administrative tasks.
  • Draft, document, and systematize Standard Operating Procedures (SOPs)—turning them into usable checklists, templates, and automations.
  • Use Google Sheets / Excel to automate and track KPIs across recruiting, utilization, and performance.
  • Serve as admin user for key systems (Outlook, Google Workspace, Clio, Slack, Gusto, Box)—managing seat assignments, permissions, and access during onboarding/offboarding.
  • Manage relationships with external vendors and service providers (marketing, IT, payroll, benefits, and software partners); track renewals, ensure service quality, and maintain accurate records of agreements and access.
  • Partner with the Office Manager to align systems, reporting, and communication for smooth daily operations.
  • Ensure compliance with California employment standards, coordinating with outside counsel as needed.

Your Experience & Skills

  • 5+ years in operations, HR, legal administration, or firm management (family law strongly preferred).
  • Prior legal administration experience preferred—especially handling attorney onboarding, client communication, or billing coordination.
  • Proficiency in Gusto, Clio, and Google Workspace; strong spreadsheet and reporting skills.
  • Experience managing recruiting and onboarding from posting to offer.
  • A proactive mindset—you anticipate needs, identify gaps, and act without waiting for direction.
  • Strong attention to detail, follow-through, and professional communication.
  • Understanding of Bay Area legal culture and professional norms preferred.

Additional Preferred Qualifications

  • Experience supporting high-net-worth or professional clientele with discretion and tact.
  • Prior work in a remote or hybrid law-firm environment.
  • Familiarity with California employment law and HR compliance best practices.
  • Strong writing skills for policies, employee communications, and SOPs.
  • Experience coordinating with outside accountants, HR consultants, or IT vendors.
  • Demonstrated ability to implement automation or process improvements using Google Sheets, Clio, or workflow tools.
Compensation & Structure
  • 🕐 Full-time, remote (40 hours/week) with flexible scheduling
  • 🧭 Reports to Firm Owner and collaborates closely with Office Manager
