The Business Office Manager is responsible for achieving cash collection and AR goals for the Facility. Works with other department heads to ensure compliance with all financial regulatory and other requirements. Position may also manage accounts payable and payroll functions of the facility.
Human Resources (HR) and Business Office Manager (BOM) Responsibilities:
- Must have Medicaid and Medicare experience in Skilled Nursing.
- Long Term Care experience in all payor types.
- Assist with Medicaid Pending applications and coordinate with residents, families, and outside agencies to finalize coverage.
- Establish and maintain a financial record-keeping system, including issuing receipts, bank deposits, and recording payments with proper segregation of duties.
- Interact with the home office billing team and payers to define billing requirements and ensure prompt payment of claims.
- Manage census activities including daily, weekly, and monthly balancing with nursing and admissions departments.
- Represent the company professionally as the first and last person visitors see.
- Responsible for Resident Trust Fund management.
- Manage petty cash and collections.
- Have a good understanding of Accounts Receivable and Accounts Payable processes.
- Assist with Human Resources duties such as importing time cards, processing pay rate changes, employee deductions, garnishments, and direct deposits.
- Process manual payroll checks and calculate, report, and submit payroll taxes.
- Prepare payroll entries and ensure compliance with termination procedures, including PTO payout, benefits cancellation, COBRA, etc.
- Gather information for payroll audits (WC, EEOC, 401K, etc.).
- Interact professionally with residents, families, staff, visitors, and government agencies under all circumstances.
Human Resources (HR) and Business Office Manager (BOM) Requirements:
- Experience in Medicaid, Medicare, & Private Pay.
- Experience in HR and Office Management preferred.
- Comfortable multitasking.
- Geriatric and long-term care experience preferred.
- Accuracy, efficiency, professionalism, and discretion are essential due to sensitive information.
