Job summary

Voice Mobility is seeking an HR Operations Analyst to optimize HR operations across the employee lifecycle, managing recruiting, onboarding, offboarding, and HRIS data. The HR Operations Analyst is responsible for optimizing and executing core HR operations across the employee lifecycle. This role combines hands-on coordination of recruiting, onboarding and offboarding activities with ownership of HR systems, data integrity, reporting, and process improvement.

The HR Operations Analyst is responsible for optimizing and executing core HR operations across the employee lifecycle. This role combines hands-on coordination of recruiting, onboarding and offboarding activities with ownership of HR systems, data integrity, reporting, and process improvement.

In addition, the Analyst serves as a key partner in driving operational efficiency, delivering data-driven insights that support HR and organizational decision-making by ensuring compliance with applicable laws, collective bargaining agreements (CBA), and internal policies.

The Analyst partners closely with HR and Executive leadership to support reporting and analysis, employee inquiries, and continuous process improvement.

Requirements
Key Responsibilities:
HR Reporting & Analytics
  • Develop, generate, and analyze HR metrics and reports (headcount, turnover, time-to-fill, etc.)
  • Conduct market and internal salary analyses for open positions, providing data drive compensation recommendations aligned with organizational strategy and pay equity practices
  • Provide insights and recommendations based on HR data trends
  • Support leadership with data needed for workforce planning and decision making
  • Build and maintain dashboards to track key HR performance indicators
Recruitment & Onboarding Operations
  • Coordinate full‑cycle recruitment logistics (job postings, interview scheduling, candidate communication)
  • Partner with hiring managers to support an efficient and consistent hiring process
  • Facilitate onboarding, including offer letter generation, background checks, and new hire orientation
  • Ensure all new hires are accurately entered into the HR systems and fully onboarded
  • Manage offboarding processes, including system updates and exit documentation
HR Operations & Administration
  • Support day‑to‑day HR operations, ensuring timely and accurate execution of processes
  • Maintain employee records and ensure compliance with internal policies and employment laws
  • Serve as a point of contact for employee HR related inquiries
  • Assist in maintaining and updating HR policies, procedures, and documentation
Process Improvement & Project Support
  • Identify inefficiencies in HR workflows and recommend process improvements
  • Support HR projects, including system enhancements and process standardization
  • Develop and document standard processes, policies, and procedures (P&Ps)
  • Drive consistency and scalability across HR operation
  • Perform other duties as assigned by HR leadership
  • Create and update department manual and employee guide by compiling, proofreading, and editing various departmental policies and procedures
  • Create agendas using the Purpose, Outcome and Process (POP) Model, and thorough notes must be kept for each meeting.
Privacy And Security Responsibilities

This position requires employees to manage and maintain Personal Identifiable Information (PII) and potentially Protected Health Information (PHI) for our employees. You will be responsible and accountable for maintaining the confidentiality, integrity, and availability of all PII and PHI, and to report any suspected identity or HIPAA violation or breach to our HIPAA Privacy and Security Officer.

Professional Qualifications & Experience Requirements
  • Bachelor’s degree in human resources or a related field preferred; or 3-5 years of progressive Human Resources experience, with exposure to HR operations and systems required
  • Experience with HRIS systems (Paylocity strongly preferred)
Preferred Knowledge, Skills, And Abilities
  • High attention to detail with strong analytical and problem‑solving skills
  • Advance Excel and HR reporting capabilities preferred
  • High attention to detail and data accuracy
  • Ability to manage confidential information with discretion and professionalism
  • Strong organizational and time management skills with the ability to meet strict deadlines
  • Ability to identify discrepancies and resolve issues efficiently and accurately
  • Strong communication and interpersonal skills with a service‑oriented approach
  • Hybrid workforce experience, with in‑person and remote work expectations
Technical Experience
  • Advanced user of HRIS software, Paylocity preferred.
  • Intermediate user of project management tools, Smartsheet preferred.
  • Experienced technical facilitation and meeting moderation in a hybrid model, using a variety of in‑person and virtual conference platform functionalities, including Teams and Zoom.
  • Advanced Microsoft Office Suite skills (Word, Excel, Outlook, and PowerPoint). Preferred Excel skills must include proficiency with importing/exporting data, pivot tables, V‑lookups, relational databases, and charts.
  • Knowledgeable use of printers, copiers, scanners, faxes, and other office equipment.
Supervisory Responsibility

This position is non-supervisory.
