Job summary

VitalCaring in Dallas seeks an HR Onboarding Coordinator to manage onboarding from offer to first day and beyond, ensuring a welcoming, efficient experience for every new team member. You will be the main contact for new hires, run the VGO, verify pre-employment requirements, and maintain accurate records in HR systems, while partnering with IT and hiring managers.

The role emphasizes compliance, timely communication, and process improvement, with opportunities to enhance the onboarding journey

Responsibilities

  • Ensure onboarding documentation complies with laws and policies.
  • Execute and maintain the Onboarding Experience program on time.
  • Support leaders with onboarding requirements and I-9 processes guidance.
  • Maintain confidential team member records in HR systems.
  • Coordinate with hiring managers and IT to provide tools and access.
  • Identify opportunities to streamline onboarding and improve efficiency.
  • Collaborate on onboarding best practices across the org.

As the HR Onboarding Coordinator, You Will
  • Own and coordinate the onboarding process from offer acceptance through the first day of employment, helping ensure every new team member has a smooth and welcoming experience.
  • Serve as a primary point of contact for new hires, answering questions, providing guidance, and keeping them informed throughout the onboarding process.
  • Facilitate Virtual General Orientation (VGO) in partnership with other HR team members and coordinate welcome and training materials.
  • Collect, verify, and process pre-employment requirements, including background checks and documentation required for compliance and audit purposes.
  • Ensure new-hire documentation is completed accurately and in accordance with federal, state, and agency requirements.
  • Execute and maintain the Onboarding Experience program, ensuring each step is completed consistently and on time.
  • Support leaders with onboarding requirements and provide guidance related toForm I-9 questions and processes.
  • Maintain accurate, organized, and confidential team member records within HR systems.
  • Coordinate with hiring managers, IT, and internal partners to help ensure new hires have the tools, training, access, and resources they need to be successful.
  • Identify opportunities to enhance the onboarding experience, streamline processes, and improve efficiency.
  • Collaborate with HR and organizational leaders to implement onboarding best practices and support a consistent team member experience.

Experience to Deliver on Our Mission
  • High school diploma or equivalent required.
  • HR certificate or associate degree in Human Resources, Business, or a related field preferred.
  • 3–5 years of experience in HR, onboarding, or a similar coordinator role preferred.
  • Healthcare, home health, hospice, or other highly regulated industry experience is a plus.
