Monitors leave administration processes and vendor performance to ensure compliance with applicable regulations, including Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), Pregnant Workers Fairness Act (PWFA), Military Leave (USERRA), state and local leave laws, workers’ compensation coordination, and other applicable leave requirements. Collaborate with Legal, HR, Payroll, Benefits, HRIS and Employee Relations teams to ensure consistent administration of the leave programs. Partner closely with HR and other related parties, including the leave administrator, to ensure accommodation requests are managed through a compliant and effective interactive process, including monitoring case outcomes, regulatory adherence and timely resolution of complex cases. Conduct regular audits of leave transactions, eligibility determinations, correspondence, approvals, denials and return‑to‑work processes to ensure adherence to company policies and regulatory requirements. Develop and maintain key performance indicators (KPIs), compliance dashboards and vendor scorecards. Partner with the leave administrator to investigate and resolve process issues, compliance concerns, and escalated team member cases. Perform quality assurance reviews of leave case management activities, documentation, team member communications, and regulatory notices. Develop and maintain standard operating procedures, governance documentation, and compliance controls related to leave administration. Collaborates, educates, and informs key stakeholders regarding change management, training, and communications. Supports strategic efforts, such as automation, acquisitions, volume organizational changes, and technology solutioning - from ideation through management. Analyze leave administration data and identify compliance risks and opportunities for process improvements. Supports Leave Manager to provide guidance, coaching and training to LOA Specialists and Field Management. Preserves confidentiality of employee medical documentation and files. Monitor legislative and regulatory changes affecting leave and accommodation programs and recommend updates to policies, procedures, and vendor processes. Interprets federal and state laws as well as collective bargaining agreements in regard to absence management and various EEO policies Coordinates with Leave Manager and other leaders to support other priorities and activities as assigned.
Education & Experience: Bachelor’s Degree or equivalent experience plus 2-3 years of administering leave of absence or related experience. Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, PWFA, USERRA, state and local laws, disability programs accommodation processes and other applicable laws and regulations Ability to process multiple requests and maintain the highest level of organization. Strong auditing, problem solving, and process improvement capabilities. Ability to communicate effectively and provide the highest level of service across all levels of the organization. Excellent verbal and written communication skills Maintain highly confidential employee personal health information and files Ensure HIPAA compliance Experience with Workday and Power BI or other reporting tools preferred.
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions including rain, wind or excessive temperatures and/or night and weekend work. Base Pay Range: $64,790.00 - 89,086.80 Starting rate of pay may vary based on factors including, but not limited to, position offered, location, education, training, and/or experience.
You will become eligible for benefits on the first of the month following 30 days from your start date.
