Job description

Runwise is looking for an Office Manager & HR Coordinator that is highly motivated, organized, and people-first to join our team! This is a unique opportunity to work at the intersection of operations and culture at a fast-growing tech company that's transforming how buildings run.

Runwise (www.runwise.com) is a fast-paced, customer-focused climate-tech startup that controls and runs the key energy systems (heating, water, etc…) in 7500+ buildings throughout the US. Runwise’s unique hardware and software service significantly reduces energy usage, substantially lowering costs and carbon output. As of today, Runwise’s technology takes the equivalent of 80,000 cars worth of carbon emissions off the road each year.

As the Office Manager & HR Coordinator at Runwise, you’ll ensure our NYC office runs smoothly while supporting recruiting and employee experience. You’ll coordinate interviews, welcome candidates, manage office operations, and handle everything from supplies to scheduling. You’ll also support special projects and events, playing a key role in keeping our fast-paced team organized, connected, and running efficiently.

Responsibilities will include, but are not limited to:

  • Supporting the recruitment process by scheduling candidate interviews and maintaining data within Greenhouse and other internal systems, ensuring all records are accurate and up to date.
  • Act as a point of contact for candidates throughout the recruitment process, delivering timely updates and clear communication.
  • Oversee day-to-day office operations, including stocking the kitchen, ordering supplies, managing vendor relationships, handling mail/packages, and supporting basic IT needs.
  • Serve as front-desk receptionist and ensure a welcoming and professional office environment.
  • Coordinate and book domestic and international travel for employees
  • Identify and suggest process improvements across administrative and recruiting workflows.
  • Support and coordinate special projects, office events, and offsite meetings as needed.
  • Provide ad hoc administrative support to ensure smooth operations, including new hire onboarding.

You are:

  • An experienced professional with 1-3 years as an Office Manager, Executive Assistant, Recruiting Coordinator, HR Coordinator, or a similar role.
  • A strong communicator with excellent social skills who builds relationships easily.
  • Exceptionally organized and capable of juggling multiple tasks at once.
  • Detail-oriented with strong administrative skills and a commitment to high-quality work.
  • Based in New York City (or surrounding areas) and excited to work in-office Monday through Friday.
  • Willing and able to support special projects and help plan both in-office and off-site events.

Salary: $70,000-$80,000 (varied on experience and market rate)

Location: This is an in-office role. You will be expected to join our team in person in Chelsea, New York City for 4-5 days a week.
