Job summary

Hussmann, a global leader in commercial refrigeration and a Panasonic company, is seeking an Human Resources Coordinator to support Branch Operations. The role focuses on onboarding, HR reporting, and maintaining confidential records with strong collaboration with HRBPs.

You will handle LOA coordination, offboarding, and ensure HR documentation accuracy while supporting the Branch Operations team in a fast-paced environment.

Responsibilities

  • Oversee onboarding for Branch Operations and completing new hire documentation and I-9 processing.
  • Generate, monitor, and analyze HR reports using Workday.
  • Manage offboarding processes, including exit interviews and gathering employee experience feedback.
  • Maintain HR documentation and employee records in compliance with policies and legal requirements.
  • Provide administrative support to the Branch Operations HR team and partner with HRBPs.
  • Coordinate LOA processes with HRBP and third-party providers; guide employees accordingly.
  • Process employee changes in Workday with proper documentation.
  • Address employee inquiries with clear guidance on HR matters.
  • Provide weekly updates to HRBPs on transactions, audits, and leave administration.
  • Perform other duties as assigned.

Overview

As a Human Resources Coordinator, you will help drive the strategic initiatives of the Branch Operations HR team by providing administrative support, including processing routine audits, completing employee life cycle transactions, and maintaining partnerships with HR Business Partners (HRBPs). In this capacity, you will be instrumental in ensuring administrative excellence to deliver exceptional service to our Branch Operations business and HR team.

Responsibilities
  • Oversee and process new hire onboarding for all of Branch Operations, including reviewing backgrounds, tracking onboarding progress, assisting in completion of new hire documentation and I-9 processing.
  • Generate, monitor, and analyze routine and ad hoc HR reports utilizing the HRIS (Workday).
  • Manage the offboarding processes for employees, including conducting exit interviews and capturing information regarding employment experience and opportunities for improvement.
  • Maintain, audit, and update HR documentation, reports, employee records, and sensitive information in compliance with company policies, business structure, and legal requirements.
  • Provide comprehensive administrative support to the Branch Operations HR team.
  • Maintain partnerships with bargained areas, including administering Random Drug Testing and processing annual contract rate adjustments.
  • Processes and track leaves of absence (LOA) in coordination with HRBP and the third party; address LOA issues with employee (explaining process, answering questions, providing leave instructions, and ensuring smooth return)
  • Process employee changes in Workday and ensure proper documentation of those transactions are recorded.
  • Respond to employee inquiries and provide guidance on HR-related matters, ensuring consistent and accurate information is communicated.
  • Provide weekly reports and status updates to HRBPs on current transactions, audits, leave administration, or other administrative support provided.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's Degree in Human Resources Management, Business Administration, or a related field, or equivalent experience.
  • Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
  • Ability to communicate effectively and collaborate with all levels of the organization.
  • Commitment to maintaining the highest professional standards and confidentiality in sensitive matters.
  • Proficient in HR software systems and the Microsoft Office suite (Word, Excel, PowerPoint, Outlook). Workday experience is preferred.
  • Adaptable and flexible in response to shifting priorities and business needs.
  • Exceptional written and verbal communication skills, with a professional and approachable demeanor.
  • Working understanding of human resource principles, practices, and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
