Job summary

Hightower Advisors is seeking a Private Investments Operations Associate to join the Houston office. You will coordinate subscription paperwork, process capital calls, and track funding activity to support private investments.

This role requires 3+ years in financial services, strong organization, and proficient use of Microsoft Office. You will provide timely updates to advisors and keep records organized; be proactive in improving workflows.

Qualifications

• 3+ years of professional work experience in financial services or related field.
• Strong organization and attention to detail with multitasking ability.
• Clear written and verbal communication; follow up with teams.
• Proficiency with Microsoft Office, especially Outlook and Excel.
• Experience with private investments or custodial portals is preferred but not required.

Responsibilities

• Coordinate subscription paperwork for private investments including tracking signatures and deadlines.
• Review subscription packages for completeness and consistency; ensure compliance.
• Coordinate with custodians and investment sponsors to submit subscriptions and process funding.
• Track deadlines and provide updates to advisors and internal partners.
• Maintain organized records of subscription documents and notices.
• Coordinate requests to update or retitle private investment assets per procedures; refer questions to reviewer.
• Provide timely status updates to advisors and internal partners with what’s completed and what remains.
• Identify recurring process issues and recommend practical improvements to workflow.
• Perform other related duties as assigned.
