Job summary

Havasu Landing Resort and Casino is seeking a Secretary/Receptionist in the Housing department to greet the public, answer phones, and direct visitors to the appropriate staff. The role includes processing payments, maintaining logs, and preparing monthly statements for homebuyers and tenants.

The position requires at least 2 years of clerical experience, proficiency with Word, Excel and Publisher, and a minimum typing speed of 40 words per minute.

Qualifications

  • Requires High School diploma or GED and at least 2 years of clerical experience.
  • Proficient in Word, Excel, Publisher.
  • Must type a minimum of 40 words per minute.
  • Able to sit for long periods; reliable and dependable.
  • Valid driver’s license and ability to travel for training.

Responsibilities

  • Greets the public with courtesy and respect and answers phones
  • Ensure quality service to the community and membership
  • Directs visitors to appropriate staff person
  • Take accurate messages and deliver to appropriate staff or Advisory Board Members.
  • Maintains logs for visitor sign-in, mail, and phone calls.
  • Accepts monthly payments from homebuyer/rental tenants, issues receipts, and enters data
  • Prepares homebuyer and rental tenant monthly statements and mails
  • Responsible for all payments received until forwarded to the Tribal accounting office.
  • Scans documents, send and receive faxes.
  • Responsible for incoming/outgoing correspondence including date stamping, applying postage, maintaining logs, and distributing mail to appropriate departments
  • Distribute pamphlets, newsletters, employment and housing applications, and other pertinent information to the public
  • Support community service by delivering high quality technical support and training for the Housing Resource Center
  • Maintain an adequate supply of office forms including leave slips, travel requests, purchase orders, and other required forms and keep readily available for staff
  • Receives/processes work orders - forwards approved work orders to maintenance department. Close work orders upon completion.
  • Monitor inventory of office and cleaning supplies and replenish as needed.
  • Prepares purchase orders for Housing Director’s signature.
  • Prepare correspondence, maintain office-filing systems, make copies, and distribute interoffice memorandums.
  • Assist with new development oversight
  • Assist with NAHASDA, USDA and other grants
  • Assist with annual reporting
  • Request wage surveys from HUD and Tribe to ensure proper payment by contractors
  • Provide office coverage for absent staff (cross-training)
  • Responsible for maintaining key lock box for Housing Department keys
  • Other duties as assigned by the Housing Director

QUALIFICATIONS:
  • Must pass a pre-employment drug test and criminal background check
  • Comply with Drug-Free Workplace Policy
  • High School diploma or GED equivalent; at least 2 years of clerical experience in a similar position.
  • Proficient in computer applications (Microsoft Word, Excel, Publisher) and operating various office machines
  • Must type a minimum of 40 words per minute
  • Must be reliable and dependable
  • Must be able to sit for long periods of time
  • Have excellent letter and report writing skills
  • Must be able to maintain confidential information
  • Skill in written and oral communication - must be able to generate office correspondence
  • Requires excellent organization and communication skills
  • Must have a positive attitude, be a team player with ability to treat people cordially
  • Ability to fulfill job responsibilities independent of close supervision
  • Must have and maintain a valid driver’s license and be insurable.
  • Ability to travel for training and/or other business
  • Some overnight travel may be required
