Position Overview

Under the supervision of the Housing Allocations General Manager, the Housing Allocations Assistant supports the day-to-day operations of the Graduate and Family (GFH) housing Allocations Office. The Assistant uses the GFH waitlist and Weekly Progress Reports to make housing offers for students, faculty and staff, based on housing availability and eligibility criteria.

The Housing Allocations Assistant ensures low turnaround times and high occupancy rates and makes housing offers that reflect these business practices. Responsibilities include offering apartments, maintaining accurate records and necessary changes, enforcing student eligibility, tracking resident accounts, and taking appropriate action as necessary. May drive a university vehicle (or electric cart). Requires attention to detail in completing forms and projects. Proficient use of Outlook, Word, Access, Publisher, Excel, and housing management software. Provides guidance on University policies, procedures, and office forms. May assist with other administrative duties.

Responsibilities
  • May be required to work occasional overtime including some weekends.
  • May be required to work alternate work hours and shifts, including weekends.
  • Work is hybrid: four days on-site and one day remote (Tuesday only) at the Graduate and Family Housing Community on the East Campus.
Qualifications
  • Proficient in data entry, word processing, and keyboarding.
  • Ability to interact and communicate with a diverse customer base in person, electronically, and by telephone with tact and diplomacy.
  • Ability to process a large volume of documents accurately and timely.
  • Experience working in a busy, service-oriented office with fluctuating priorities; ability to meet deadlines.
  • Ability to build and maintain customer and partner relations professionally.
  • Tact, mature judgment, confidentiality, diplomacy and flexibility to promote a positive environment.
  • Proficiency with standard office equipment and software including computers, printers, fax, copier, telephone, and email; familiarity with databases and spreadsheets.
  • Attention to detail, punctuality, and reliable attendance.
  • Ability to work independently and to analyze data; strong organizational and problem-solving skills.
  • Excellent general office and administrative skills with thorough forms completion and follow-up.
  • Ability to proofread for grammar, punctuation, and spelling.
Special Conditions
  • Job offer is contingent upon satisfactory clearance based on Background Check results.
  • CANRA Mandated Reporter: This position is a Mandated Reporter under the California Child Abuse and Neglect Reporting Act.
Pay Transparency

Annual Full Pay Range: $33,900 - $75,335 (will be prorated if appointment percentage < 100%).

Hourly Equivalent: $16.24 - $36.08

Factors in determining compensation include experience, skills, knowledge, abilities, education, licensure, and certifications. This range may be broader due to internal equity and bargaining agreements where applicable.
