Job summary

Insight Hospital and Medical Center Chicago is seeking a Nursing Supervisor / Intake Coordinator to oversee hospital operations, bed placement, staffing, and behavioral health intake across shifts. You will coordinate referrals, admissions, and continuity of care while ensuring confidentiality and high-quality service.

Applicants should hold an ADN (BSN preferred), CPR/ACLS, and experience with EMR and bed-tracking tools.

II. GENERAL SUMMARY

The Nursing Supervisor / Intake Coordinator, under the leadership of the Chief Nursing Officer or designee, provides hospital‑wide operational nursing oversight and coordinates clinically appropriate patient flow, bed placement, staffing, capacity management, and escalation during assigned shifts. The position also serves as a central access point for behavioral health screening, case disposition, referral, authorization, and continuity‑of‑care linkage.
These duties are to be performed in a highly confidential manner, following the mission, values, and behaviors of Insight Hospital and Medical Center. Employees are further expected to provide a high quality of care, service, and kindness toward all patients, staff, physicians, volunteers, and guests.

III. DESCRIPTION

The Nursing Supervisor / Intake Coordinator is accountable for maintaining safe, coordinated hospital operations while managing behavioral health intake and access functions. The role combines shift‑based nursing supervision, patient‑flow and bed‑placement authority, staffing and surge coordination, behavioral health screening and referral, insurance authorization, clinical documentation, and continuity‑of‑care activities. The position serves as the clinical and operational liaison among patients, families, physicians, nursing units, hospital departments, and community agencies and escalates concerns to the appropriate leader or Physician Advisor when necessary.

A. Essential Duties and Responsibilities

  • Provides hospital‑wide operational oversight and situational awareness during assigned shifts. Coordinates with nursing leaders, physicians, Patient Access, Emergency, Case Management, Surgical Services, Behavioral Health, and ancillary departments to support safe operations, timely care, customer satisfaction, and effective use of hospital capacity. Dual role will vary based on hospital needs.

  • Assesses clinical status and acuity to direct appropriate patient placement and movement. Prioritizes inpatient, observation, outpatient‑in‑a‑bed, critical care, and internal or external transfer requests; manages the bed‑coordination process; rounds on units to validate pending and actual discharges; and applies approved medical‑necessity and placement criteria.

  • Screens for incoming telephone calls, walk‑in requests, and internal referrals for behavioral health services. Determines the presenting need, urgency, available resources, appropriateness of the hospital as a provider, and required level of care. Applies knowledge of mental health, substance‑use disorders, developmental norms, and age‑specific needs; provides resources and active linkage when services are not available through the organization.

  • Coordinates with case‑management and registration to verify verification of medical coverage, initial authorization when required, collection of relevant clinical information from patients, providers, and referring facilities, and accurate documentation in the electronic medical record. Communicates concise and complete referral information to the receiving clinician or service.

  • Ensures safe transitions of care by reviewing the anticipated discharge plan prior to patient transfer, identifying potential safety concerns or barriers to discharge, and collaborating with case management, social work, crisis services, and other appropriate disciplines to support a safe and appropriate disposition.

  • Coordinates staffing needs before the next shift and provides direction to employees under the position of supervision. Holds staff accountable; provides coaching, feedback, and performance guidance; supports fair and timely evaluation and corrective action processes; and models professional communication and behaviors consistent with Insight standards.

  • Leads surge and capacity response in collaboration with hospital leadership, physician leaders, and Case Management. Identifies barriers to discharge and patient flow, applies established escalation pathways, engages the Physician Advisor as appropriate, and supports transfer agreements and repatriation processes between acute‑care facilities.

  • Uses bed‑tracking data, rounding findings, daily metrics, census reconciliation, and intake activity to monitor performance and improve processes. Prepares reports, communicates trends and barriers, supports quality and safety review, and ensures compliance with applicable legal, regulatory, confidentiality, and accreditation requirements.

  • Supports financial and resource stewardship under nursing leadership by reviewing payroll and staffing schedules, monitoring staffing levels and budget variances, responding to variance notices, contributing to budget planning, and identifying cost‑conscious operational solutions.

  • Performs other duties as assigned within the scope of the position and organizational needs.

IV. JOB SPECIFICATIONS
A. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
  • High school diploma or equivalent required.

  • Current Nursing license required. ADN required; BSN preferred.

  • Current CPR and ACLS certification required. PALS Preferred.

  • Knowledge of major mental health and substance‑use disorders across the age continuum, developmental norms, behavioral health levels of care, and age‑appropriate screening expectations.

  • · Strong clinical assessment, functional‑status screening, critical‑thinking, and disposition skills to identify the appropriate intensity of care or intervention.

  • · Knowledge of patient‑flow, bed‑placement, discharge, transfer, surge‑capacity, staffing, and escalation processes in an acute‑care hospital.

  • · Competence with the electronic medical record, electronic bed‑tracking tools, staffing and scheduling systems, and operational or quality reporting.

  • · Excellent interpersonal and customer‑service skills needed to engage patients and families and collaborate with physicians, staff, outside agencies, and community partners.

  • · Ability to communicate essential clinical and referral information clearly, maintain confidentiality, organize multiple priorities, track intake and patient‑flow activity, and meet required turnaround times.

  • · Demonstrated leadership, sound independent judgment, conflict‑resolution ability, and skill in removing interdepartmental barriers in a fast‑paced environment with frequent interruptions.

  • · Working knowledge of applicable federal, Illinois, and local requirements; the Illinois Mental Health and Developmental Disabilities Code; professional standards; the Code of Ethics; and hospital policies and procedures.

  • · Ability to comprehensively review patient medical records, including H&Ps, diagnostic results, and clinical documentation, to determine the appropriate level of care for direct admissions, including both medical and psychiatric placement, and to identify and consult with the appropriate physicians and clinical specialists to ensure safe and appropriate patient disposition and continuity of care.
