A leading institution affiliated with Virginia Commonwealth University seeks a part-time Administrative Assistant to support research operations. Responsibilities include scheduling, document management, and coordination of administrative tasks. The successful candidate will demonstrate exceptional organization and communication skills while managing multiple priorities in a dynamic environment.
The Virginia Institute for Psychiatric and Behavioral Genetics (VIPBG; vipbg.vcu.edu), affiliated with the Department of Psychiatry, in the School of Medicine at Virginia Commonwealth University (VCU) in Richmond, Virginia, invites applications to apply for this position supporting research administration needs for the VIPBG faculty as needed.
The successful Administrative Assistant can manage competing priorities in a fast-paced environment while maintaining a high degree of organization and attention to detail. The successful individual must be self-motivated, dependable, highly organized and accurate. This role requires highly effective communication skills, problems solving, and information research. The Administrative Assistant will serve as a resource and key coordinator, using a proactive mindset to identify tasks and problems as needed, before being asked.
Position Responsibilities:
Responsibilities include scheduling, administrative duties and coordination of general office needs to increase effective workflow and editing and reference manuscripts. Serves as an administrative professional in matters related to journal and literature publications, to include; various journal formatting requirements, executing literature searches, pdfs of hard to find articles, challenging inter-library loan requests, proofing accepted papers or reference documents for grants. Develop systems and organize information or key documents for various research needs, documentation, or reports.
Knowledge, Skills, and Abilities:
• Highly skilled in Microsoft Office suite, especially Word, Excel, and Outlook
• Skilled in database management, including generating queries and reports
• Skilled in document management strategies, including file organization and working with multiple document formats
• Experience formatting, proofing, referencing and submitting manuscripts for publication and grants preferred
• Experience with Adobe Acrobat, EndNote, and HTML preferred
• Ability to find information on the web and in libraries as needed
• Excellent written and oral communication skills
• Ability to identify and complete priority tasks among multiple simultaneous projects
• Experience and ability to identify areas of improvement in administrative processes
• Experience and ability to work collaboratively with colleagues
• Highly organized and attentive to details Strong organizational and planning skills
• Experience managing and planning schedules for deadlines, meetings, visitors and travel
• Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a employee at Virginia Commonwealth University
Hours / Schedule:
Part time position, maximum of 25 hours per week
