Job summary

Fastbreak AI, based in Charlotte, NC, seeks a Hotel Procurement Specialist to source and secure hotel blocks for event partners and manage contracts. You will analyze room pick-up metrics, negotiate terms with hotel partners, and onboard partners to the Fastbreak Travel platform, enabling smooth event execution.

In this role you’ll collaborate with cross-functional teams, maintain CRM records, and support relationships with national partners while working four days on-site and one flexible day

Qualifications

• Bachelor’s degree required.
• 1+ year of experience in hotel or hospitality industry preferred.
• Familiarity with hotel operations and brand requirements.
• Working knowledge of hotel contracts and negotiation skills development.
• Comfortable analyzing revenue and pickup data against targets.
• Highly organized and able to manage multiple priorities in a fast-paced environment.
• Professional, confident communicator by phone and email.
• Collaborative, team-first problem-solver.
• Experience in or passion for sports and events is a plus.
• Based in Charlotte, NC; four days in office with one flex remote day.

Responsibilities

• Source, negotiate and secure hotel room blocks for event partners.
• Serve as daily contact for assigned hotel partners and maintain consistency.
• Prepare, track and maintain hotel contracts for events.
• Monitor room block pickup, report metrics and flag risks to leadership.
• Work with internal teams to meet partner commitments and operational requirements.
• Onboard and train partners on the Fastbreak Travel platform and relay feedback to development.
• Manage CRM records, event renewals and complimentary room allocations.
• Assist with Team, VIP & staff blocking strategies.
• Participate in rotating emergency phone schedule as needed.

Fastbreak AI uses AI to transform sports operations, with software for scheduling, tournament management, group travel and brand sponsorships. Fastbreak Travel is our AI-powered group travel platform for amateur and professional sports organizations. It simplifies hotel booking, monitors stay-to-play, and turns every room night into a reliable revenue stream. It also integrates directly with our amateur platform, giving organizers full control over team accommodations.

We’re hiring a Hotel Procurement Specialist to support our hotel partnerships team. In this role, you’ll help source and secure hotel blocks for our event partners, keep in regular contact with hotel partners, and work with internal teams to make sure every event is properly contracted and well served. The role is based at our Charlotte, NC headquarters.

Responsibilities

• Support the team in sourcing, negotiating and securing hotel room blocks for event partners
• Serve as a day-to-day point of contact for assigned hotel partners, cvbs, and national hotel contacts and keep communication with them consistent
• Prepare, track and maintain hotel contracts so events are fully contracted and kept up to date
• Monitor room block pickup and account performance, report on key metrics, and flag risks or escalations to leadership
• Work with internal teams to meet partner commitments and operational requirements
• Onboard and train partners on the Fastbreak Travel platform and share their feedback with our development team
• Manage CRM records, event renewals and complimentary room allocations
• Assist with Team, VIP & staff blocking strategies
• Participation in rotating emergency phone schedule as needed
