The position requires strong clerical skills, a typing speed of 50 WPM, and proficiency with Outlook. Hours are 40 per week, with a split between sales office and front desk, typically 9am–5pm in sales and 7am–3pm or 3pm–11pm at the front desk.

Qualifications

• High School diploma or vocational secretarial.
• Previous secretarial experience preferred.
• Ability to type 50 words per minute and use standard business letter formats.

Responsibilities

• Answer phones and ensure inquiries are dealt with accurately and professionally.
• Type correspondence, reports and forms; prepare simple written communications.
• Prepare sales contracts within 24 hours; make group reservations and rooming lists.
• Create new files and monitor trace files per SOPs.
• Prepare cover sheets, welcome packets and ASAP reports based on room blocks.
• Assist sales manager on proposals and special event invitations.
• Maintain paper flow and communications within the sales area.
• Make reservations for corporate accounts with correct rates and billing notes.
• Assist guests with charges and requests as needed.
• Input group reservations into PMS and update sales reports.
