Job summary

LifeLink Foundation is seeking a Hospital Services Coordinator I in Tampa, FL to receive and process allograft orders, coordinate deliveries, and manage inventory with the Hospital Services team. The role requires meticulous handling, strong communication, and the ability to work under pressure to meet deadlines.

You will interact with hospitals, providers, and distributors, perform QC and shipping tasks, and stay on-call to support life-saving organ and tissue donation operations.

Qualifications

  • High School Diploma or equivalent.
  • Typing speed of at least 50 WPM.
  • Ability to interact with management, staff and external contacts.
  • Strong attention to detail and accuracy.
  • Minimum of one-year relevant job experience.
  • Ability to work under some stress to meet deadlines.
  • Dress code: scrubs.
  • Thorough knowledge of basic word processing fundamentals.
  • Ability to stand for long periods of time.
  • Lift and carry boxes and supplies up to 70 lbs.
  • Proven attendance and punctuality.
  • Collaborator who thrives in a mission-first environment.

Responsibilities

  • Prepares invoices and consignment orders.
  • Pulls, Q.C.s and packs shipments.
  • Makes courtesy calls to hospitals to ensure deliveries and satisfaction.
  • Assists in labeling and stocking allografts for clinical use.
  • Assists in supplying allograft placements.
  • Assists in shipping tissue when necessary.
  • Coordinates local pick-up and courier deliveries.
  • Assigns return authorization numbers for hospitals and distributors.
  • On-call 24/7 for hospital services as needed.
  • Other duties as required.

What You’ll Do
As a Hospital Services Coordinator 1, you will directly contribute to LifeLink’s life-saving mission. Coordinates with Hospital Services Manager and Director to identify and maintain effective communication within department. Responsible for receiving and processing allograft orders as well as maintaining allograft inventory room.

Key Responsibilities:

  • Receives and processes telephone/fax/email orders for allografts.
  • Prepares invoices and consignment orders for accounts.
  • Pulls, Q.C.s and packs shipments.
  • Makes courtesy telephone calls to hospitals ensuring deliveries and customer satisfaction.
  • Assists in the labeling and stocking of all allografts as they are released for clinical use.
  • Responsible for making supplies for allograft placements.
  • Assists in the shipping of tissue when necessary.
  • Coordinates local pick-up and delivery for courier shipments.
  • Assigns return authorization numbers for hospitals and distributors.
  • Position requires being on call 24/7 for hospital services as needed.
  • Other duties as required.

Working Conditions

Pleasant and comfortable work environment. Routinely works customary hours, although may require extended working hours to include weekends if necessary. Workstation equipped with the necessary tools needed to perform the various functions of this position will be provided.
