Job summary

Washington Gastroenterology is hiring a Full-time Hospital Scheduler to join our Central Scheduling team. The Scheduler coordinates GI care for inpatients and outpatients requiring hospital procedures.

This position primarily works remotely from home with onsite training in Tacoma, WA. You must reside in Washington; Seattle remote work is not allowed. The role offers competitive pay and comprehensive benefits including medical, dental, vision, life, and a 401(k).

Qualifications

  • High school diploma or equivalent required.
  • Current Medical Assistant-Certified or Licensed Practical Nurse license in WA required.
  • Minimum two years experience in a medical setting preferred.
  • Minimum one year experience in scheduling in healthcare preferred.
  • Strong knowledge of medical terminology required.

Responsibilities

  • Receives calls and tasks from clinic, providers, and queue.
  • Gathers medical history and condition prior to scheduling outpatient procedures.
  • Verifies demographics, insurance, chart notes, and referrals.
  • Follows Scheduling Standards and hospital guidelines for accuracy.
  • Collaborates with hospital personnel in scheduling and preparing patients for procedures.
  • Provides detailed explanation to patients about appointment responsibilities.
  • Ensures all requirements are complete for each appointment.
  • Notifies patients of pathology results as directed by physicians.
  • Manages follow-up care as ordered by providers.
  • Maintains HIPAA confidentiality.
  • Monitors insurance information and maintains requirements.
  • Other duties as assigned.

We are WAGI

WAGI is seeking a Full-time Hospital Scheduler to join our Central Scheduling team. The Hospital Scheduler works directly with the Hospitalist Providers to plan and coordinate the gastroenterology health care for patients who are in the hospital and for patients who are not in the hospital but need procedures done in a hospital setting.

Responsibilities
  • Receives incoming calls and tasks from clinic, providers, and/or queu
  • Gathers pertinent medical history, present condition and problem prior to scheduling outpatient procedures for patients
  • Verifies demographics, insurance, chart notes, and referrals
  • Follows the Scheduling Standards and Exceptions guidelines for each hospital to ensure accuracy
  • Follows the guidelines of the individual hospital
  • Collaborates with the appropriate hospital personnel in scheduling and preparing the patient for procedures
  • Provides detailed explanation to the patient of their responsibility for their upcoming appointment
  • Ensures all requirements are complete for each appointment scheduled
  • Notifies patients of pathology results as directed by physicians
  • Manages follow up care for patients if needed per provider's orders
  • Observes patient confidentiality as part of HIPAA regulations
  • Monitor changing insurance information and take appropriate action to maintain requirements
  • Other duties as assigned as assigned
Qualifications
  • High school diploma or equivalent required
  • Current licensure as a Medical Assistant – Certified or Licensed Practical Nurse in the state of Washington required
  • Prefer a minimum of two (2) years experience in a medical setting
  • Prefer a minimum of one (1) year experience in scheduling in a healthcare setting
  • Strong knowledge of medical terminology required
Skills and Abilities

  • Ability to prioritize tasks and to delegate them when appropriate

Physical Activities and Requirements
  • Prolonged periods of sitting/stationary work and performing administrative duties including the use of computers and phones
  • Ability to bend, twist, stoop, and reach, rarely
  • Able to lift and carry supplies and equipment as needed (up to 25pounds)

This team primarily works remotely from home with training conducted onsite in Tacoma, WA. Candidates must reside and work in Washington State and due to unique city ordinances that impact employers, WAGI does not allow anyone to work remotely from Seattle, WA. The following conditions must be met for interested candidates in their remote location:

  • Minimum internet connection requirements and surge protection in your home
  • A home work environment that allows you to work free from distractions and sources of background noise and free of potential hazards including tripping hazards, electrical hazards, etc.
  • Ability to secure and protect WAGI supplied computer, phone, and systems and ensure protection of Personal Health Information (PHI)
  • Though this position provides the benefit of telework, it does follow a standard schedule based on the hours of operation

Washington Gastroenterology has an excellent compensation and benefit package that includes the following:

Employees (and their families) who work full time (defined as working 30 or more hours per week) will be eligible for medical, dental, vision, long-term disability, accidental death and dismemberment, and basic life insurance. In addition employees are able to enroll in our company’s 401(k) plan which includes a company provided safe harbor contribution of 3% of annual earnings and the potential for a company discretionary profit sharing contribution.

All employees will be eligible to accrue PTO at a rate of .04 hours per payroll hour (1.6 hours for a 40 hour week) which can be used for and exceeds the required mandatory WA State and other local ordinances. In addition, full time employees will be eligible for a Vacation accrual with a maximum annual accrual of 77 hours as a new hire.

WAGI has 8 standard Holidays each year for which full time employees are eligible to receive paid holiday. In addition, full time employees will be given 1 Float Holiday each year that they can schedule.

This is an Hourly position and the anticipated Compensation range is $22.00 - $28.60. The hired applicant is also eligible for annual discretionary bonuses.
